Please forgive me for asking this simple question, but I have been reading for over 20 minutes trying to find a correct answer. It just seems so confusing to read so many different scenarios that are listed here about accepting returns from the seller's point of view.
A buyer bought a key chain, they ordered wrong year and now wants to return it with no mention of re-ordering the year they really need. What is the best way to make it as simple as possible for both of us to make this happen, in other words, a way that cost the least amount of money and give us both what we want.
I will also mention they like to leave negatives for things they have bought in the past.
PS: To all of you who answer all of these questions.......Thanks for your help and knowledge and taking the time to share it with us!! We really do appreciate it.

Before we reply... did the buyer list a remorse reason (vs. NAD) in the claim? I mean, you do offer 30-Day Returns...

"I will also mention they like to leave negatives for things they have bought in the past."
Oops... just saw ^^^ this. It's in your best interest to approve the Return. If it's remorse, you can deduct the shipping and the buyer will pay return shipping. If it's NAD, you'll have to refund in full, whether you approve the Return or not.
Don't worry about "both of us"... take care of your account. Good luck.

The buyer has not done anything but email me and say "I need to return this"........... that's it.

Depends on how long it's been since they ordered. You have a 30 day return policy listed. Follow that.
This is also a buyers remorse issue, buyer pays return shipping, you can also deduct the original shipping from the refund, should you choose to refund.

I accept returns and as long as it's within the 30 days, I just tell them to return it for a refund.
Then leave it up to them to decide what they want to do.

That's exactly what I did...... I sent a very nice email saying I would be happy to send the year they needed as soon as they send the key chain they ordered back to me.

Sorry, forgot to add that I gave them the choice of replacement or refund for this transaction.

OK, from the beginning, Buyer ordered 2023 key chain, 2023 keychain sent, they received key chain they ordered, they then sent me a email stating they wanted a 2022 keychain. I then sent an email to them, stating what I said before, exchange or refund.
This morning I received an email from eBay that buyer is returning item because "wrong item sent", suppose to recurve 2022" whatever that means. This email from eBay included a picture the buyer sent to them of the item that they received (2023 key chain) and it is the same exact item (2023 key chain) they ordered.
I know for most of you, this is a small item to be concerned about, but I just read to much about 99.9% of the sellers on eBay just trying to do the best they can, and then getting taken advantage of by probably a very small % of the buyers and getting away with it. At times, it just gets to you!!

Now that the Return case is open, you can approve it and refund the buyer in full only after the key chain is returned to you .
Agreed that Returns can get to you... hang in there.

Yup. The buyer is making YOU pay because THEY made a mistake. Can't own their own mistake...
You have no choice now but to accept the return. I'd message ebay on FB and see if there's anything they can do. Doubt it, but at least that cust will be on the radar. Not really. Ebay does nothing to buyers who cheat and steal from sellers.
SIGH.
You might want to reach out to the cust and tell them they made a mistake in the reason for the return. That THEY ordered the wrong year and you sent exactly the one they ordered. Likely to **bleep** them off though. You can't win here.
