Tracking uploaded on time and validated (seller dashboard)

Is anyone else frustrated by this number dropping without any you have any control of the outcome?

I track EVERY shipment and enter it in PayPal but, if the carrier doesn't scan it on their end of the nation I get a lower score.

Does anyone know how to fix this?

Best- Sarah

The only sure way to fix this is to bring your packages to the carrier and have them scanned and get a receipt.

This issue seems to be getting bigger. I have the same problem. What worries me is that having a week with more sales can now work against you if the system does not update properly.

Re: Tracking uploaded on time and validated (seller dashboard)

I am confined to my home and can not go to the post office. My items are picked up by my mail carrier within 1 day of the sale. They often don't get scanned until the second bulk sorting center. Tracking often does not show for a day or sometimes 2 days.  So I can lose top rated seller status because USPS does not scan or update info fast enough. This costs me additional money on my ebay bill. It seems to be just another way for ebay to mess with small sellers in their quest to get rid of small sellers like me.

Re: Tracking uploaded on time and validated (seller dashboard)

First - if you are shipping more than one item at a time, make use of the ebay scan sheets.  When the driver picks up your items he has to just scan the single sheet and all your packages will be scanned in at once.  That is all that you need to protect your seller rating, is to have an initial scan on time.

Second - if you don't use a scan sheet, you can "nicely" demand that the carrier scan your items at the door.  If they don't want to or say it's not required, politely explain the system.  My carriers understand that if I don't get them scanned at the door, then they go to the PO where they are put on a truck to the nearest hub, and that is where they get their first scan.  So, if anything happens to your package between it leaving your door and it getting to the hub for it's first scan, explain to them that you are liable and that it affects your ebay account which your are shipping these items through.

Third - If that does not work, either contact the local PO and make the complaint to the Post Master, or go online and fill out a complaint form.  They are required to scan the items if you need them scanned at your door before they leave with the packages.  It protects you and them from fraud.

Our driver does not only scan our scan sheet, however she was told that she also now has to scan every package that we have in individually before she leaves our route, she said it was a new rule for her, however I don't know if that applies accross every domicile.

Finally, don't leave packages at the counter, or with a PO employee without an initial scan.  This is the best way to protect your account form any shipping defects.  All will be fair and corrected if you follow this one rule.  If not, you're rolling the dice with your merchandice.

Re: Tracking uploaded on time and validated (seller dashboard)

I have actually caught them shiowing a bug - I have 4 packages from the prior month in dashboard reports for last evaluation period - Ebay's report says "No Scans Recorded"  - as in none at all - so I checked the actual orders and, wonder of wonders, every single one of them shows acceptance scan (within the time alllowed, even) and full tracking all the way to delivery.  So evidently, ebay's "robot" can't read..

gonna have to call in to ebay support and get that report fixed... more wassted time on the phone, of course.

Although it does not affect our TRS status (not even close) , it is something definitely worth calling in about and getting corrected.

How can I find out more regarding a "scan sheet". I have never heard of this.

Re: Tracking uploaded on time and validated (seller dashboard)

SCAN form - Service Confirmation Acceptance Notification

When you print bulk labells from certain providers (such as stamps.com) you can print a SCAN form that covers all of your packages when you hand them over the PO only has to scan the SCAN form and all packages get an acceptance scan at once (along with package count, etc on the form) so your postal carrier or PO worker does not have to scan each package individually (they do of course get an individual scan as they are being sorted, as every package must)  but the SCAN form is used to indicate the batch of packages is all "checked in" for processing.

if you print labels one by one or go to post office counter for postage, you don't get that option to print SCAN forms but if you use bulk shipping (such as Paypal labels, I think, or stamps.com or endicia, etc.)  you can consolidate alll packages that have had labels printed into one bar ciode scan.

Saves time at the PO when you have many packages to ship. It can be used for just one package but kind of pointless for that case.. 🙂

Re: Tracking uploaded on time and validated (seller dashboard)

Even though I ship within 24 hours of payment received and often the same day as payment received,  mine fell to 95-96% percent range!   Now it's risen to 97% but should be more like,  99%.   I feel like I can't win for losing.

Those percentages are really not accurate until the 20th of each month I believe. They will fluctuate every day in between. But none of those days matter. You're not going to loose your TRS based on one day not showing a complete picture of the data. There is a surge and purge of data on the 20th when they settle to review your status. That's the only day that matters. Your TRS review date. On that day there is a surge of data and the purge everything plus or minus 24hours to prevent non-reporting data from obstructing the figure.

You will notice from Friday to Monday especially if you don't ship on Saturdays a big variation. The system still calculates on the 24 hour cycle. However it's missing scan data through the weekend from the PO. So until Tuesday comes around, unless Monday falls on the 20th, that percentage looks low because the scan data from Friday to Monday hasn't been uploaded for the algorithm to configure.

If you were to run a report, you will see the packages that it's not computing in the data as not shipped, even though in actuality you may have shipped them. It's just a laps in transfer data from the PO. They have been working with the PO to get that data to generate and sync more accurately and timely. It's been discussed on the weekly ebay business live video feed with Griff and Audrey I believe too.

Regardless it's still not relevant until your evaluation day on the 20th.

Re: Tracking uploaded on time and validated (seller dashboard)

I'm so frustrated too by this unfair rating system. I use my phone only to sell I don't have any way to print postage at home so I always go to the post office within my stated 1 day policy but my hub landing says I am only at 87% because tracking hasn't been uploaded and scanned in time. I always upload tracking immediately. How is it even reasonable to penalize us for the carrier not scanning on time. I also recently found out that substation post offices don't scan at all not until item is delivered. I think this rating criteria is absurd since as a seller we have no control over what the post office employees do.

I'm not sure why you are blaming eBay for this.  The problem is your specific carrier.

Re: Tracking uploaded on time and validated (seller dashboard)

The only ones that bug me are the 11:59 pm payments.  If you don't ship them the next day (I work!), they are late.  I wish I could define my business day as ending at 8 p.m.

Re: Tracking uploaded on time and validated (seller dashboard)

If you are taking them to the post office and having them print the postage, it is getting the only scan it needs.

Keep in mind that the day runs until midnight.  So if someone pays on Monday at 11:59 p.m., you must ship Tuesday for it to be within 1 day.
