HELP!!!!! eBay Standard Envelope Users HELP HELP HELP!

i recently posted about this same issue about a month or so ago, received some assistance from the community, and honestly believed my problem was solved.  however, after making a complaint to my usps sorting center on an unrelated manner, i am getting back more mail than ever requiring me to reprint labels and thus making the ESE ineffective.

 

most of my business is magic, pokemon, and sports cards under 2.50 in value.  i would previously put cards in either a semi-rigid (pokemon, magic) or rigid (sports) top loads, fold them up in a piece of paper and put them in a 4X6 envelope.  i mailed 1000s of items this way with periodic issues like a folded paper edge would get caught in a machine, it would either get sent back because of a bad address, get "lost", or require more postage.  the more postage "excuse" because of their damage is the most frustrating one because every single item was mailed the EXACT SAME WAY EVERY SINGLE TIME.

 

after the community's suggestion on 3-23, i started mailing items in the same 4X6 envelopes, but then i started taping two thick index cards around the items to eliminate the thicker paper edges and provide a smoother soring experience.  that worked for awhile, but started to get some back.  on 4-4, i then i remembered another suggestion, affix them with tape on the INSIDE of the envelope to eliminate any possibility of them shifting.  that worked okay for a few weeks as i wasn't getting anything back.

 

however, they started trickling back in.  the extra postage needed "excuses" because the envelopes were damaged in the sorting process somehow, and this was after the complaint on an unrelated matter was made.  i'm not saying the usps has it out for me, but in the last three days i've had 7 items returned requiring more postage even though i've mailed 100s out the last few weeks and they were again, all mailed the exact same way.  i am at my wits end here.  it literally feels i could mail a post card with NO item whatsoever and it will get sent back to me.  

 

making matters worse, i sell about 25% of my weekly volume on eBay, on another website, THE EXACT SAME WAY, but have never had one single item returned.  the reason for this is because i use a usps postage stamp.  NOT ONE SINGLE ITEM.  it feels as if usps allows considerably more allowance with usps envelopes than they do with eBay, AND usps is unable to track any envelope using eBay ESE tracking numbers.

 

so finally to my request, how do the rest of you that use ESE's ship them.  i use two thicker index cards, and about the only thing i can think of is either just using two thinner ones, even though the thicker ones aren't really that thick, using just one thick one, one thin one, or none at all.  i'm not 100% comfortable with given how much damage the usps has consistently done to my envelopes. 

 

switch the paper envelopes?  however, i offer free shipping and cannot spend too much on them.  switch to all semi-rigid protectors?  had buyer recently complain about using a rigid protector between the two index cards, and left a negative, that was removed.  or do i do what a local gaming store does?  use 4X9 envelopes, and tape a semi-rigid in the center of that piece of paper, and tri-fold the piece of paper, and stick it in the envelope?  i seem to have the fewest problems with the largest envelopes even though recently the first one came back in the last few days.

 

the problem is not the rigids or semi-rigids, the folded paper initially or the index cards now, or the methods which i have changed for the better because every single item was mailed the exact same way every single time.  the problem lies elsewhere and i am trying to fix it to the best of my ability, but don't seem to be getting anywhere.  so i will listen to any suggestions from anyone else who uses ESE's.  HELP!!!!!

Considering the large amount that you seem to be selling, I would expect at least a small volume of returns, but perhaps not so many as you are experiencing.

 

Since you state that the value on most of the cards you are shipping is below $2.50, I would suggest not using semi-rigid and rigid card holders, and simply using penny sleeves -- that should solve most of the issues that you are having with rigidity.  As I have mentioned previously, I trim two pieces of cereal box cardboard (or soda pop cardboard) to fit snugly inside a small plain white envelope; then insert the card (or stamp, or postcard, or currency) in between; then seal the envelope; print off the ESE label; tape the label to the envelope; and physically drop the envelope  at the "Metered Mail Only" slot at my post office.

 

If you're having issue with envelope flap snugs, simply tape down the edges of the envelope flaps, so that there will be NO openings that can snag.  Same  with the ESE label itself -- tape down ALL the edges, to decrease the chances of machine-snags.

 

But you had also indicated that most of these problems had occurred after you had made some complaints to your local USPS Sorting Center, which suggests that you may also be being "targeted" by one of the USPS individuals with whom you had issues.  Can you possibly drop off your mail at another post office, with whom you haven't had a problem, at least until the current issues finally dissipate?  I've had to do this myself, a time or two in the past 12 years; and it finally works itself out.  Maybe both you and your local USPS just equally need a "time out" from each other.

i think you may have responded to this request the last time i posted about this as well. i sincerely thank you for taking the time to respond.

 

as far as the suggestions go, i will try to give a few a shot.  i send out 15-20 items a day, so the volume and cutting of cardboard is not realistic for me.  however, based on your suggestion last time, i was using thicker index cards.  not quite as thick as a cereal box, but that was the best i could offer.  

 

while not a cereal box and snug, i began taping down the holders between the index cards on the inside of the envelope to prevent any significant shifting.  nearly all of these, 6 of the 7, were secured this way.  

 

i always drop off items at mailboxes and i've always wondered about that in the back of my head.  could items be getting damaged in the actual drop off or in the transport.  i will be going to the post office now on a daily basis.

 

i used to tape down the self-adhesive labels, but then got away from the practice for some reason, but the labels never seemed to be the issue.  they were smaller based on my label maker, but always seemed to stick.  i've seen people tape down edges before on envelopes, but that never crossed my mind, even once.  i have purchased some heavy weight envelopes, and if the problem persists after that, i will start taping.

 

my main issue with the usps at this point is that if every item is exactly the same each and every time, how do some make it and some don't.  shouldn't they either all make it, or all be sent back?  anyway, my local post office is fine, but the sorting center is about 100 miles away, so i'm kind of hamstrung there.  however, i will be speaking with the local office sometime next week to see what suggestions they have.  after about 10 "lost" items, 15-20 damaged items that came back needing more postage, and close to 25 items that were damaged and came back as a bad address, I'm hoping to get some answers, though they cannot answer for the sorting center.

Bring them to your post office and drop them in the slot for metered mail @uwmgrad.

this is about what it has come down to for me, because when you get 5 items back in one day even though 100s were sent the exact same way, someone IS targeting you.  i honestly didn't believe this occurred, but apparently it can.

 

i have most of these items except for the double sided tape.  the only question i do have it, what type of envelope are these items being sent in?  from the "can be bent in half" statement, i would have to assume the size 10, 4 1/2 x 9 1/2, ones?  

 

the only other issue i can see happening with this is, this method will work fine with magic, pokemon, and FLAT  sports cards, but there could be issues with chrome and prizm type sports cards that have a natural slight warp to them.

 

is there any way to get in touch with this individual to try and get other helpful tips?  i will try this way for a few days and see what the results are, but honestly after getting 5 back in one day, which seems statistically impossible, it feels like someone is doing this on purpose.

i recently made a post on here regarding my issues with ebay ese shipping and got a few helpful responses.  i even had a meeting with my local postmaster regarding the issue last wednesday, april 19th.

 

at that time, the postmaster really didn't have too many answers other than the stock, "it got stuck in a machine", and together we tried to figure out the best shipping method.  we came up with a method of putting in a semi-rigid protector, folded in paper, and put in a size 10 envelope.  that was his suggestion.

 

a full ten days and a week from the meeting went by without any issues, so i thought the process was working.  however, i received 15+ items back today all requiring an additional .40 postage.  again, this method WAS APPROVED BY THE POSTMASTER!!!

 

it is very confusing as to what the sorting facility is doing.  if they are all packaged the same way, should they either all go through, or none go through?  the supervisors are suggesting i either pay for the non-machinable rate, what and additional .40 or $1.00 for shipping or do not put any protection on the cards at all and just send them without???  really???  i offer free shipping on 99% of my items to start with, is this no longer feasible?  do i send all the items out with the 3 oz shipping rate of $1.08?

 

even more frustrating is the fact that i have sent through some thicker items without tracking with just a single stamp and NOT ONE item has been returned.  do i offer free shipping without the ebay tracking, and offer first class stamped envelope delivery???  people will say they did not receive their items and this will create even more problems.  will people on ebay buy items without the tracking number as long as it is free shipping???

 

heeelllllppppppp, again.  sorry, i am literally at my wit's end.

Repeating my suggestions from April 16 --

I use a standard small white envelope (6-1/2" X 3-5/8") -- with either a penny-sleeve or a glassine envelope -- thus, NO rigidity.

i see your point, but ever since attempting to appease the usps once more, it's been about a week since the change, i've already had once complaint about using just a sleeve in my feedback.  

 

as far as trimming cardboard, i've been told repeatedly by a number of people, including the usps postmaster i met with, that cardboard simply isn't flexible enough.  i was trying something to the same effect with heavier stock index cards, but that was also with a semi-rigid holder.  i mail out anywhere from 15-25 items per day, and not only would it not be practical from a time use point of view, i also do not have anywhere near that much cardboard.

 

i spoke with a close friend who does work with usps and he said a couple of interesting things.  he stated what i thought as occurring insofar as someone was actually doing this on purpose at the sorting center.  he said based on what he knows, that's the only way this would occur.  he also stated that if these were stamped as non-machinable, that might solve the issue as well.

 

regardless, this is a lot of information to digest after 4-5 months with zero issues, all of a sudden there are all of these?  and i will also say this again as well, this does NOT occur if there is a stamp on the envelope.  my friend says the reason this also occurs is because someone at the sorting center would think i am a business.  there is no other explanation why stamps are fine if packaging is exactly the same.

 

thanks for your assistance again.  i will meet with the postmaster again tomorrow and hopefully get some answers.  it just stinks because the people i really need to talk to about solving the problem, i can't speak with them.

You seem to be misunderstanding what I have previously described as "cardboard."  

 

These are not pieces of "cardboard" per se; but the "cardboard" that is used for cereal boxes and soda pop 12-packs -- very lightweight, very flexible, yet not at all rigid or stiff.  Yes, they are technically "cardboard," but definitely NOT the thick material which is associated with "cardboard" boxes.

 

And I have regularly handed my ESE mailings to a USPS counter worker to get their approval, just to make sure that my envelopes are sufficiently flexible -- and each ESE has passed the test 100% of the time! 

 

(By the way, I also ask the USPS counter worker to hand the ESE back to me, so I can slip it into the "Metered Mail Only" slot myself, rather than have the ESE mixed in with stamped mail -- it saves sorting time.)

 

But I can only tell you what has been working for me, without fail, for the last couple of years.  You might give it a try, on your own, just to see if it also works for you, and using exactly the same directions and materials as those that I have previously described.

 

At this point, what have you got to lose, right?

thanks for the info, but i did know what type of cardboard you were referencing...just from a time use and supply standpoint, it is not practical for me. 

 

this is why i tried heavier stock index cards.  while not quite as thick as the cardboard, they are relatively close.  they also take up about 75-80% of the envelope.  i also tape it down on the inside to prevent shifting, but even that wasn't good enough.

 

on a side note, even though i didn't hand off the ese envelopes previously, when i met with the postmaster last week, he didn't know why they were not getting through.  as it was the same with yesterday, two postal supervisors said they would have allowed what was approved by the postmaster just one week earlier and had NO answer as to why they were sent back.  they kept blaming the machines, and that if one item mucks up the process, they don't even bother with the rest of the envelopes if they look the same.  they, the postal sorters, assume the remaining envelopes are the same and mark them all as postage due.  i had another friend of mine from usps verify this story 100%.  

 

this brings me to my last issue with usps besides not a single problem prior to last month and a half for the previous five months though packaged even worse, and that the same envelopes, regardless of packing, WILL go through sorting if they have a stamp.  a possible issue now seems to be too many of the same type of envelope in the same location.  if asked if i mixed up the delivery points so all 15-25 were not present at the same time, could this possibly help.

 

it's an extremely frustrating situation to have what was fine for nearly six months, not be fine, and at the same time if there is a stamp on the item, everything is okay?  

 

i'll keep working to find a solution.

I ship all my cards in penny sleeves folded into the packing slip. So far so good. Just had a coin returned today but I just reprinted the label and will send it back out, switched ends the item is on so perhaps that will help. 

 

My postman says "they" are "cracking down" on this. We will see how it goes. This is my first returned envelope out of several hundred.

 

Oh, I mention on the add copy that the item is shipped this way and that if they want better protection they can pay for $4 shipping (hope they don't take me up on that too much, the fees eat my profit!)

 

I've successfully shipped items in those "your merchandise is enclosed" corrugated mailers, but first I run them over the corner of a counter to make them more flexible.

Find some random boxes of greeting cards that are large enough for the label and that meet the criteria.  Get them cheap on clearance.  Stick the card into the greeting card, stick the card in the envelope and voila, you are done.

 

On another account I ship low value paper items this way using just a stamp. I use thank you cards.  I've never had an issue.    For Ebay's standard envelope shipping on this account I use these:  https://www.ebay.com/itm/254808890842?var=554631194199   I get them $25 off with my store subscription.

BINGO, unused greeting cards are an essential method of shipping smalls via ESE or just stamps for me

 

I've used ESE for a couple years, shipped 1000's and the bulk of coin & postcard shipments have been in greeting cards. Hard to keep in stock but anywhere I go to hunt product, yard sale, estate sale, auction, etc I always keep an eye out those boxes of greeting cards that everyone seems to have. I bought some new ones on ebay for a backup if I run out  but sorta spendy at 20 Cents each

 

Another thing I've found useful is file folders, always cheap at the above named venues, few people use them anymore. Last box I bought at a sale was a fresh looking box of 250 for $1. If you are using standard #6 3/4 envelopes you can make 3 inserts out of each folder so I got 750 inserts for mailing for that dollar
