Ever void postage and use a scan sheet? BEWARE

Voided USPS shipping labels included in a scan sheet WILL NOT be refunded, those tracking numbers will not show to USPS as voided postage.  The tracking numbers will show as “in transit” and therefore refund rejected.  

 

USPS has said no problem if scan sheet count is lower than what is shipped because agents do not understand what happens with voided label refunds and they are faced with, use the scan sheet or manually scan 50 parcels individually.

 

To see if you need to contact ebay to get refund, review shipping labels and review orders older than 3 weeks that show as “in transit.”  If you had a cancelled order and the tracking number was included in scan sheet, “refund rejected.”  If you had an error, needed to void a label to purchase a new label and used a scan sheet, refund on original voided label, “refund rejected.”

Yes, I made this very mistake some years back. In fact it was the very first time I tried  a scan sheet and I didn't fully understand the consequences of what I did.

 

The postage Iabel I voided was for EXPRESS instead of FIRST CLASS.  I still presented the scan sheet at the post office, not realizing that whatever link there might be between it and the tracking numbers on it, it didn't include the voided label and its present on the scan sheet meant that I'd used it after all.  

 

So sure enough - I later got a notice that my voided, unused express label has been UNvoided and there wasn't a thing I could do about it according to my postmaster.

 

After that pricey error, I am sorry to say I gave up on using SCAN sheets.

You are correct.

 

If you void postage on a package included on a SCAN sheet you must void them all and start over.

We do not have time to redo labels.  Another faster option is do not use the scan sheet, which is what we have decided to do and our local P O is not happy.  A great option would be for voided tracking not to included on the scan sheet.

 

The purpose of the scan sheet is for USPS efficiency.  If high volume sellers do not have time to void all the labels because an order was cancelled after shipping purchased, will have to skip the scan sheet, thus undermining the objective of scan sheets.

 

Ebay can pull some manual levers to get refunds but they have to be aware and have to ask.

It makes sense to me that all numbers on a scan sheet will show accepted (and thus used) which is the purpose of the scan sheet to begin with. 

 

I'm curious, though, is it a common occurrence for you to need to void labels?  That seems like a rare thing.

Makes sense to me. Why are you voiding so many labels that it’s a problem?

I think I have only Voided one label in all the time I have been printing postage.

 

It would be better if you continued to print scan forms then on the very rare occasion that you needed to void a label just omitted turning in the scan form for that batch.

An order cancellation request is probably a once a week occurrence for us after an order has been processed.  Only one void is all it takes for the scansheet to be rendered useless.

 

Our volume is higher than many ebay sellers so being able to use the scan sheet is important less for us and more fore USPS.  

 

I am sure many sellers would have the time to void all the labels and redo the scan.  We just do not have that luxury of time.

How many orders do you process in a day?  Businesses with employees are not going to redo bulk scan sheet, which would mean voiding all the labels and redoing them.  That is an added expense without any business benefit.

 

If a business has the time, great.  We just do not and am thankful for no wiggle time to accomplish what has to be done in a given day.

I admit I do not list all the time. Frankly I don't list at all during the holidays times as the load at the PO and lack of daylight after work is a issue. After the mail route I have animals to take care of. I do almost all of my photos outside to get better light.  But if I did get a cancelation and had a scan form it would suck but yes I would have to void all and redo the labels.  Perhaps if you are getting so many cancelations the batches on the scan forms could be made smaller. I would drop them down to a manageable number, write a small number on the box or corner of the label and have that corresponding with a number on the corner of the scan sheet. True there is no monetary benefit to doing this but it is a lot easier to scan a few scan sheets than several dozen packages and less likely that way to have acceptance scans missed. 

 

Frankly even at a high volume of sales, I would be trying to nail down and eliminate the reason for so many cancellations.

Whenever a customer requests to cancel an order, we accommodate the request, even if it arrives after processing.  The alternative is a waste of time managing returns.  

 

If you you would like to go nail down customers who may have second thoughts so we do not have to void postage, we would be eternally greatful!

I guess I am not understanding the issue.  If I have to void a label I do it before I print the scan sheet, which I don't do until the very last minute before going to the post office (no pick-up available here).  Then it isn't listed on the scan sheet at all. 

 

If the buyer is requesting a cancellation or  other change to their purchase after the scan sheet is printed, I would probably refuse to make that change if it would affect their label.
