eBay Not Recognizing "Item Posted" – Getting Unfair Defects - AI support only :-( - Need Help

Hi everyone,

I’m a seller from Brazil and I’ve been having serious problems with eBay not recognizing when my items are posted.

I ship everything on time using Correios (our national postal service), and I always get a valid receipt showing that the package was posted. This same info appears on the official Correios website. But eBay keeps saying “You need to ship this item,” and I get late shipment defects even though I already handed the package to the post office.

It seems that eBay only recognizes  and register as label creation, not the actual Item Posted scan; but the message says Item posted. Official tracking only activates after the item is physically handed to Correios, and Ebay is reading it — which makes sense. I honestly don’t know if any postal system in the world would generate real tracking for a package that hasn’t been accepted.

I’ve tried contacting support multiple times, but I only receive AI automated replies. No one is reviewing the actual scan or checking the tracking. My email box is filled with auto responses, appeals rejects , and now the number of defects on my account is growing — even though I am doing everything right.

This is hurting my business and preventing me from running my auctions. I don’t know what else to do.

I’m attaching an image that shows my postage receipt and how eBay still shows it as not shipped; the info at official website and other things.  Just send the image to support , don't know how auto messages will deal with an image.

If anyone has ideas or knows if someone at eBay actually reads posts here, please let me know. I really need help.

If you sign out of eBay USA and back in on eBay Brazil, can you get to the eBay Community in Brazil? Someone in Brazil would know more about how to help.

 

I tried that and it sent me back here, so I'm not sure what happens for you?

Will give it a try. First, I’ll update all my listings — some will need to be deleted since they can’t be revised, and others I’ll adjust.
Honestly, it’s frustrating to realize that it’s easier to change my handling time than to be heard by eBay.
That said, selling on eBay has been making a real difference in helping me reach new customers, and I don’t want to give up.

There isn't really an eBay site for Brazil. It's just a subdomain of eBay.com, so there's no use telling people to go to a different site that is part of eBay.com. It's always been like that.

 

@artealterada, the tracking number in your screenshot is blurry, so I can't confirm what kind of shipping service you are using. But I can see in another place it is described as "registrada exportação" which sounds like it would be the equivalent of Registered Mail.

 

Unfortunately, registered mail is not tracked in the USA, and it doesn't qualify as Integrated Shipping for eBay. They can't get updates from the mail service. If there is an upgraded shipping service available, that might be the equivalent of International First Class, or Priority Mail, then you should try using that instead. It has to be a shipping service that has full tracking and delivery confirmation available, and if you're shipping to the USA, then Registered Mail just isn't enough.

Do you manually put the Brazilian tracking number into your record?
Go to ->My eBay

Go to ->Orders

Go to ->Manage all Orders

Choose the shipped item

Go to ->View Order Details

Look for Tracking Number on the right of the picture

Enter the tracking number manually.

 

I ship from Canada and often use postage stamps to pay for tracking labels at the post office counter.

EBay does not know that number until I enter it manually.

 

Just because eBay should know that you have shipped, doesn't mean they will know you have shipped.

That’s strange — on my side it’s not blurred. The tracking number is the same on both eBay and the postal receipt: RR227067580BR.

 

I pay extra for this shipping method because it includes international tracking. It’s a premium service to ensure full tracking — and in fact, eBay does recognize the “Item Posted” scan, the departure from the country, arrival in the destination country, and final delivery.

 

The real issue is that eBay is incorrectly reading the “Item Posted” status as just “Label Created,” which is not accurate.

I manually enter all the tracking information as soon as I post the item, and when I compare my paper receipt with the internal eBay tracking, even the posting time matches exactly.

 

The real issue is that eBay still identifies “Item Posted” as just “Label Created”, which is the core of the problem.

 

And seriously — the image is blurred for you? 😞

I tried saving it in a way that would be easy to read, and it’s showing fine on my side. I’m really sorry it didn’t come through clearly. Dont know why.

The RR prefix means Registered Mail. A lot of export sellers (those not based in the USA) have been having difficulty with registered mail shipments to the USA since earlier this year. There has been a distinct change for the worse, and I don't think it's going to change back or get better.

 

In the USA, registered mail is processed by hand, with increased security, and it is slower because it gets locked up at each facility. But it does not include tracking in the USA, and that means that eBay does not recognize these shipments as "integrated" with the eBay system. So they don't qualify for seller protection against INR disputes, and can result in defects, for example. You can't do anything about the defects.

Some export sellers have lost their selling privileges because of delays, lack of scanning, and INR disputes with registered mail. It is not recommended that export sellers use registered mail any more. Are there any other shipping services that have tracking available?

 

Your image has 3 screens stitched together, side by side, so it's very large. It requires a large screen monitor to be able to see the details.

Unfortunately, using a different shipping service — even from the same postal carrier (Correios) — would often make the shipping cost ten times more than the item itself. 😞

Correios (Brazil's national postal service) is a recognized carrier listed by eBay, and they are partners with USPS, who completes the final delivery in the U.S.

The issue is with the posting date, which eBay is not capturing properly, even though it’s pulling tracking directly from Correios.


This is a screenshot from a delivered order with full tracking accepted by eBay — but the system still did not consider the correct posting date.
eBay considers the posting date as the label creation date — and that’s incorrect.

All tracking was handled by Correios, and then USPS completed the delivery. The tracking was fully valid and accepted from start to finish.

I provided the tracking number, and it was confirmed by eBay on the same dayWednesday, June 11.

The only issue is how eBay interprets the pickup.

Even the screenshot from eBay says the item was “Posted” — but it still treated it as if it were only “Label Created.”

Am I missing something? Because from what I see, this is a system issue with how “Item Posted” is interpreted — not a problem with the tracking itself.

All my trackings are always marked as "Tracking uploaded on time and validated" by eBay.

From what I understand, “validated” means that the tracking was recognized and confirmed by the system.
So, if the tracking is validated and shows the item was posted, then the posting date should also be considered valid — but it’s not.

eBay is not going to change how they handle these transactions. 

 

If you continue to use registered mail, then you can expect to continue to have problems. There is nothing to be done about this.

 

Registered mail does not have tracking in the USA, and it does not have delivery confirmation. I don't think that is going to change any time soon.

I truly understand the situation, and I’ve decided to add 7 business days to the handling time on all my listings.  10% already with extra days.
I also understand that it might be difficult for eBay to fix this issue anytime soon cause is a issue and not a design decision.

What I don’t understand, however, is how the system can correctly show the tracking progress to both me and my customers (as seen in the last screenshot I shared), but still fail to register that same information internally.

They track the package, but don’t record the posting date correctly.

This shows that eBay is not using USPS tracking for this, but rather pulling the tracking directly from Correios (Brazil's postal service). And at the root of the problem, it seems to be a simple mislabeling or translation issue when linking status codes.
Because “Item Posted” is not the same as “Label Created.”

If the system showed, like in your screenshot, that nothing was found at all, that would be a different issue.
But here, the entire tracking works — the only part that is wrong is the posting status.

Logically, it’s hard to believe this is a USPS tracking problem. It looks much more like a system integration error between eBay and Correios.

Whether this gets fixed or not, I’ll keep trying, because I believe the documentation I have is solid.
But in the meantime, to avoid issues with my account, I’m adjusting the handling time as explained.
