Cancelling an Order

I recently sold an item but unfortunately it got misplaced.  Either way I'll have to refund the buyer.  Should I send the refund without cancelling the order?  I'm reluctant to cancel the order because I don't want to get dinged by eBay though my feedback is 100% and I've had nothing but good reviews.  How many cancelled orders does there have to be before you start getting dinged?

Pretty sure eBay has detection methods if a full refund is issued and the item was never shipped.

 

Someone tole me they did what you ask and it turned into a OOS cancel anyways.

 

It's best to do the correct thing and cancel OOS voluntarily because this is the actual reason. A single ding isn't going to hurt you.

You cannot fulfill the order so you are supposed to get a defect for a seller initiated cancellation.

 

How many cancelled orders does there have to be before you start getting dinged?

Your seller dashboard will tell you.

Yea, your feedback can handle one OOS cancellation no problem. Ebay won't boot you yet.

I had my first cancellation due to being short of stock this week. It was the first one in 20 years.  Not sure what happened, but life goes on, huh?

This is a bit unconventional... but if you have a similar item, you can refund and full, and ship the replacement as a "gift". If you ship something and refund in full after you ship, you will not get dinged, and you probably won't get bad feedback because the buyer just got a free item.

 

I often send bonuses when I mess up on something to make the buyer happy. One guy bought 10 QV stamps (of low value) from me, I was missing one stamp, it went out by accident when I pulled another order most likely... I gave him five bonus Aussie QV stamps from a collection I just acquired as a gift to apologize for not having the stamp he spent time ordering from me. He was happy and left good feedback for all items.

 

This doesn't happen often or it would put me out of business, but with 12K in items, I often have a replacement that I can send as a bonus when something is missing. (I tell the buyer so they don't leave empty handed, I'm sending "this item" instead, but they will be fully refunded including shipping since I don't have what they ordered). Never got a neg from a buyer over that type of cancellation/refund.

As sin-n-dex mentions: is there something similar buyer might desire for misplaced item.

Send refund and ask buyer what can I send as a replacement for you. And throw something in for free as well.

Using the replacement for item to be mailed should work.

Buyers love a freebie and refund at the same time.

And easy on the emails. This is to save feedback also.

After posting that, I got a lost item situation... buyer bought a PVC damaged crown. Couldn't find it, must have gotten shipped out as a wrong item at some point and no one told me they received it.

 

I found a better one in inventory and sent it as a replacement (and let the buyer know). He is happy to be getting something better than what he expected.
