eBay provides settings to help with returns; so they are automaticly approved.
Setting up your return policy | eBay
When a buyer selects a reason for return that is included in this policy, eBay approves to return. They tell the buyer to return and provide tracking. See also the message I got in Dutch by eBay:
It says The buyer ....... returns the object. The return is automatic approved according to eBay's policy and we asked the buyer to return the object.
We have asked the buyer to return the object. After the buyer shipped the object, we will forward the tracking to you.
There is nothing in the return that needs extra communication on top of what eBay did already on my behalf. So how can eBay close this return with the reason that I did not respond in the return??

I don't have an answer but I have one similar that I can't figure out either.
I had a buyer request a return and the return was auto approved reason "ordered by mistake" and eBay asked buyer to send item back (I had buyer paid returns) So I wait for the item in the mail.
I don't receive anything in the mail and, 17 days later, it turns into a case that I wasn't informed of and they are saying "We appreciate you trying to work things out with the buyer. They've asked us to step in and help resolve their return request...." What? Trying to work things out? That was the first I heard it was a case and then my funds are on hold, it turns into an "item not as described" and now I have to arrange return shipping?? Then, 7 days later, buyer paid by eBay.
That was a wild ride. I hope someone can give you an answer.
August 21, 2024 return auto approved The buyer xxxxxxx is returning the item. Per eBay's policy, this return has been automatically approved and we've asked the buyer to send the item back. claim reason: Ordered by mistake. comment: “They looked much longer in the picture.....too small.....”

You have a return policy and have your settings set to accept buyer returns automatically. For that part, you don't have to do anything.
So the buyer requested a return, it was automatically approved and it sounds like the buyer returned the item.
Once tracking shows delivery back to you, you have to issue the refund within 2 business days.
But if ebay had to issue the refund, that would happen if you received the item back and didn't refund within 2 days as required by policy. So the buyer asked ebay to step in.
Is that what happened?

No return received, no tracking from the buyer. In this case eBay CS told us that buyer uploaded a picture that did not match which contradicts the tracking about a refused parcel. Overall a weird case but what puzzles me most is the closure in the buyers favor even when they do not return. The appeal I did was succesfull.
