Downloading Managed Payment Transactions Into QuickBooks Desktop

We have been selling motorcycle parts on eBay for years. When it comes to record keeping we would just download the IFF file from PayPal into our QuickBooks. Our managed payments are going to start within a few days and I would like to be prepared for record keeping. Is there a option to download a IFF file from eBay? Is that the best option? Does it download just like PayPal? If not what is my best option? I don't want to change our record keeping system if we do not have to.

I found that the best cost effective solution was BANK2IFF by ProSoft.com. It allowed me to upload the transaction report from excel and create mapping that will make it a simple upload moving forward into the future. It was a one time fee of $80.00 and now I have the program forever! Its a little work up front but your imports into QuickBooks desktop will be quick and easy from here on out.

@ridetodaysalvage  - Managed Payments reports are csv files.  You would need to edit the file to get everything formatted/matched up properly before importing into Quickbooks.

 

If manipulating the file and uploading it is not something you are comfortable with, unfortunately the only other option (besides manual entry) would be a paid 3rd party app.

 

eBay is promoting one called OneSaas and I believe they have partnered with that company to offer discounted pricing for eBay sellers.  I can't speak to the cost and/or how well it works - no endorsement here, just passing on the info I have seen from eBay. 😊  There may be other apps available as well.

It looks like OneSaas may only integrate with Quickbooks Online, but it may still be worth checking out just in case.

 

For Quickbooks Desktop you may need to look at a different solution.  I have heard Thub by Atandra has versions for both QB online and QB desktop - that would at least in theory be able to import your order data but I'm not sure about fees and other expenses.   Again, not an endorsement just throwing ideas out there.

How the hell are you supposed to do accounting with the mangled payment,plus paying invoice for partial expense. No idea what do? It worked fine with PayPal.  Come on eBay get it right for your sellers..

Unfortunately eBay has pretty much passed the buck off to paid 3rd party apps or the accounting software themselves as far as integration goes.

 

The csv reports are a mess as well - while the data is there, it does take some manipulation to get it in a format you can work with either manually within a spreadsheet program or to upload to accounting software.

 

It's all just more expense (money and/or time) that has been pushed onto sellers with Managed Payments and I can guarantee they aren't counting that in their "most sellers will see savings" marketing promises.

Thank you for the reply. They are putting in effect with us 10/5/2020 so I want to make sure we get ahead of this issue and have a game plan. I try to reach managed payments in the advance eBay team but they will not answer. When we download the IFF file from PayPal into QuickBooks it always had some issues but it was close enough to make it work. Have you downloaded a eBay managed payment file? I have no idea what it looks like and if there is a way I can convert it into something that QuickBooks desktop will recognize. Also have many transactions does the file contain? Does it just show the money in and eBay fees? Or does it show that tax coming in and out as well. I sincerely appreciate your help.

No problem @ridetodaysalvage  .  If you haven't already I would suggest joining the private group for Managed Payments.  https://community.ebay.com/t5/Managed-Payments/gp-p/MP .  You have to be approved to get access to that part of the community, but it is the best place to get help with Managed Payments questions.

 

In Managed Payments you can download a few different reports.  The Transaction report is most likely what you would be looking at for most of the data you need.  That report includes the transaction total and fees deducted from the sale.  You can select date ranges for this report so it will include however many transactions are in the date range you select.

 

It will include Seller Collected Sales Tax, but does not include eBay Collected Sales Tax.  If you also need to track eBay Collected Sales Tax, you will need to get that information from the Orders report in Seller Hub.

I use a program that connects to Excel. It imports file exchange files into Excel  then puts them into proper categories then exports into QuickBooks.  Made by Big Red Consulting

Thank you for the reply. I just took a look at there site. Which program are you using that they offer? Are you downloading the transaction from the managed payments section or are you doing it through the file exchange section?

We have been using Big Red Consulting for the past 6 months.  Now that we switched to Managed Payments it does not work.  When I try to import the eBay file, the Excel file remains blank.  Is there a different way to import now that it is Managed Payments?  Thanks for any help.  Not a fan of Managed Payments at all.

I am looking for advice on how you import the Managed Payments for Ebay to Quickbooks.... it is throwing quite the wrench in my accounting.... Any tricks or tools you would be willing to share?

@mus14tang the private Managed Payment board has been discontinued and locked.  This is now the only dedicated place on the boards for Payments topics.

 

As far as advice.  I work for a large company that uses enterprise level software that connects to all of our sales channels, but it comes with an enterprise level price tag too. 

 

For smaller sellers:

 

OneSaaS (the company eBay was pushing everyone toward back when this thread was started) has recently been bought by Intuit and it sounds like they will be folded into their Quickbooks Commerce service.  https://www.onesaas.com/ 

 

I believe the other option I mentioned, Thub by Atandra, also still works with Quickbooks and Managed Payments, but again I don't have personal experience. https://atandra.com/t-hub/ 

 

I'm not familiar with some of the other solutions other posters here mentioned, but they may work too.
