Declaration form information

The buyer was clearly informed that this order includes 3 separate boxes. The complimentary gift item was delivered first due to normal shipping timing. The buyer confirmed receiving the first box and was aware that additional shipments were expected. When the return was initiated, we immediately contacted eBay Support and were advised to wait until the return item was delivered. Since then, one of the original items has been delivered with valid tracking and proof, and the final box is currently in transit. The buyer returned only the gifted item, not any purchased products. Despite receiving the actual order, the buyer did not update the return case, which is misleading. Refunding based on return of a free item is unfair. Now the eBay send me a declaration form that i need to fill and resubmit . Question is that should i need to add additional documents with the form on the time of resubmission to strong my case .

In addition to what @comics-scifi-collectibles , @albertabrightalberta , and @glorybells have provided eBay is also not setup to produce more than one label on a return.  Your Buyer must know how eBay works, they completed a return with tracking through one of their claim processes and you will be forced to refund them in full upon receipt.  That way the Buyer will get the item for free ...

@happy_cart_stop  I am sorry that you are having trouble with fulfilling your orders.  

 

You can NOT send a "complimentary" gift ahead of the other items.  eBay's system is not set up to handle  this.   Sending a complimentary gift accomplishes nothing as far as eBay is concerned the buyer received their item.   

 

Using a complimentary gift shipment to satisfy the on time delivery is not allowed.  

 

If you can not deliver within the stated handling time on your listings then you need a longer handling time.  Handling times can be up to 40 days if you use the Advanced Listing Tool located in Seller Hub on a computer.  

 

If you do not refund willingly eBay is going to force a refund , you won't get your sellers fees back, and you get a Defect.

 

You can try reaching out to the buyer if they do receive the items and ask them to repay you using an offsite electronic payment method  or have them mail you a check.  Offer a discount for their troubles.

@happy_cart_stop  Adding that you appear to be DropShipping.  You are not allowed to sell an item on eBay and then order it from another retail site>

If this is how you are sourcing your inventory then eBay will catch on and your account can be restricted.  If that happens then eBay will hold your payouts until they deem the account is no longer restricted.  Payouts can not be sent to a restricted account.

Disclaimer: I don't tend to coddle when a poster is in the wrong so what I say probably won't be what you were hoping to hear. It's not intended to insult you or hurt your feelings but rather is an attempt to help so you don't risk loss of your account. 

 

I don't believe for a second that your "free gift" was a goodwill gesture. I think it was knowingly done in an attempt to butter a buyer up when their purchase(s) will be either delayed or not even received at all. 

 

Just about everything you did was wrong and if I were you, I'd just issue refunds, learn from this experience and come up with a better business plan.

Based on what I see from the buyers' experiences, @happy_cart_stop may be nearing the conclusion of his/her ebay career.

@albertabrightalberta , also, their registration country is US, but their replies to feedback read like a foreign seller.  And, I think @comics-scifi-collectibles is correct as to dropshipping.  They’re selling a wide variety of products, all with stock pictures.

Just to chime in a bit on this.  It so reminded me of a seller that tried to scam me last year.  They too send a free gift first to my address, all in an effort for the tracking on Ebay to show as delivered.  The seller mistakenly thought they then had the upper hand if I tried to file a claim or anything in regards to Ebay.

 

They were terribly wrong.  Let us not forget that when a seller ships something there is a weight on the package.  What I should have received weight a lot more than the cheap key ring I received.  I won my case against this seller for an INR.
