I have had several instances where I have sold a 1 only item & Ebay has not taken it down. A new buyer wants the item that I no longer have.  I cancel the item & refund the money and explain to the customer.  I now realize that when I do that I am getting a defect on my seller rating. I tried talking to Ebay but they tell me they received no messages from the buyer so they can't do anything about it. I don't get that part. What is the right way to handle that situation and why should I get dinged for Ebay's mistake? Thank you

If this is one of those 'ghost' listings it's impossible to monitor anything - it won't show up in someone's local listings (i.e., seller hub) but does show up on the site itself. This has happened to me several times down through the years and has been reported numerous times. eBay at one time did admit that there may be a glitch but won't take any responsibility for it (I kind of get why). I personally think it's a database update problem.

How is the customer buying the item if it is not listed for sale?

The right way to handle this is to make sure whatever items you have listed for sale, you actually have for sale.

Also if you sell here you need to monitor your seller hub to make sure things are correct, it is not a set it an forget it thing

It is still listed because it was not taken down when it was sold. Is  that my responsibility?

Have you noticed this in every listing?

"Seller assumes all responsibility for this listing."

Have a great day.
