Problems sending invoices for more than 40 items

We had auctions today and a buyer bought more than 40 items. It grouped the first 40 and sent out an invoice and grouped the second 40 (but something went wrong and it didn't send an invoice), and the third invoice would have just a few.

 

No matter what I do, no matter what item I pick, no matter how I try to send an invoice, it just keeps repeating the first 40 items, again, and again, and again, and now he's received three invoices for the first 40 items and no invoices for the rest.

 

We had this happen last week (there were four invoices and we could only send two, the next attempt to send an invoice resulted in pulling unpaid items from other invoices on to the fourth invoice which was only supposed to have 7 things, but it included a bunch of things that were already invoiced.

 

We foiled this glitch by having the buyer pay one invoice at a time (once paid, I can't invoice it again, it will not add paid items to the unpaid invoices). But this is a nuisance for the buyer and I would like to ship his items tonight.

Thanks. I have done what they are suggesting (I tried both in the Seller Hub and just in Solds). The issue is, when I select an item that is not on an invoice and put in "send invoice", it will do the same first forty items again. There is no point in even deleting things that are on another invoice because it's the same 40 things being invoiced over and over again. The second forty is grouped together (I tried to send an invoice and it crashed and wouldn't send it, but it did combine them for me), and when I put "send invoice" on that one, which is already combined, it still sends the first 40 things again.

 

My customer usually pays later on Sunday evening (and it's such that I get his package ready while I wait, so it will go out tomorrow), but it's going to be a nuisance for him if I have to send multiple invoices over a period of time because the system won't combine anything except for the first forty items.

I could be very wrong, but vaguely in my memory is something about one buyer only being able to but so many items.  You might want to check that out.

There is a 40-item limit on an invoice, that's been that way since as long as I've had auctions... Two weeks ago I was able to select one sold item, invoice, there would be 40 on the invoice and it would combine. Then I'd find an item that wasn't on the invoice and select it, send invoice, it would do another 40 items, and so on, until everything was on an invoice. The customer in question regularly purchases 40-150 things on any given auction week (pending on who shows up to outbid him).

 

I know when he pays that first invoice, it will let me send another invoice of unpaid items, and so on, until all invoices are paid. But let's just say us sellers have enough problems making sales and profits without eBay's glitchy invoicing system making it difficult to invoice sellers and prevent them from paying.

 

In my eBay, I see one invoice that has been sent out to him (it was copied to my email). The second invoice had a problem while sending, it combined the items, removed the shipping charge, but didn't actually send to the customer. I don't know if he'll be able to pay that in his my eBay set up, but I think he pays from emails, so I will likely need to send that again. If I try to send it again now, it reverts back to all the contents on invoice #1, and not even the item I selected will show up on that second invoice. It's just a complete copy of the first invoice I've already sent.

 

After that, there's about 8 remaining items, and each item shows the sale price, and $275 in shipping has been added to EACH item (if he were to pay them one at a time). The $275 shipping is what shipping would be if it weren't combined, but since I combined it, I've charged it once, and deleted it from all subsequent invoices (if I were actually able to send them).

@sin-n-dex - I'm sorry to hear this is happening. I know it's frustrating to be running into this with such a large order.  I'm not able to access your account information and I wasn't able to find open reports of what you're seeing on your end. Because if this, I would recommend contacting customer support as they'd be able to review this in more detail and get it reported for you.

The customer paid for his invoices one at a time, and I sent a new one each time one was paid. The transaction occurred on our other business account which may be why you couldn't see it.

 

I've been selling to this customer for years, in large quantities, and this invoicing problem has only been an issue for the past two weeks.

@sin-n-dex - I'm glad to hear that your buyer was able to pay for the items. I know this is still a bad experience for you in being able to quickly complete a transaction. If this comes up again, I really recommend contacting customer service to review this with you because they'll be able to access information on the transactions that I am not able to.

Brittanie, that was a zero answer to a very good question.  I have been a high volume Seller on this platform for 20 years with my old company nationwidesurplus and this company.  eBay has yet in all those years figured out shipping, invoicing or returns.  It is wacky crazy to not allow a Seller to sell as much as he or she can.  However if they do the platform makes it as difficult as possible.  Returns today are a huge mess.  I was told by CS yesterday that there is something in the works to repair the unreasonable hold on current funds for unresolved returns, fact of fiction.  I am one Seller with a $2.4mil business.  Eight years ago in this smaller company I was doing 100% of my business on eBay.  Having seen the direction eBay was going in with program after program that had nothing butt negative impact on the Seller I began selling on other sites.  I think this year we will do like $400K on eBay.  No one on your side of the fence sees that as being a problem.  Wouldn't someone in the eBay system be concerned that a long time high volume Seller is working hard to get off the site.  Fees on $2mill is a large chunk of change for eBay.  At some point, no matter how many times you say this is not true, eBay is going to have to recognize that the Seller is an important part of the site.  Without my $4 mil in inventory on the shelf, like many other Sellers, there is no eBay.  You believe without buyers on eBay Sellers can't exist.  If that were true I wouldn't be selling an additional $2mil on other sites.  Sad state eBay is in.

@allthingssurplus As a community teammate, I don't have the same access as customer service would to review a transaction in full detail and troubleshoot what six-n-dex is reporting. This is why customer service is the correct place for her to go if she continues to see the same issue. I am not aware of any changes to how invoices should work on large orders and I did not find other reports of sellers having the same experience.

 

My goal is always to get sellers what they need to continue their business and our team is always happy to pass along any specific feedback you may have about shipping, invoices or returns to the correct team, so feel free to share this on the boards and tag us.

 

We haven't announced any changes regarding held funds for returns but if this is something we do change in the future, this will be communicated here.

I have not been able to send any invoices since Yesterday before 5 PM EST.  I keep getting a it's not you it's us message.  When will the problem be fixed?  Has anyone else had the same problem.  Invoices (4) are for 2, 6, and the other two are 20 or so items. 

Maybe part of the problem the OP is running into.

All you are going to get from CS is "I'll send in a ticket (meaning for sure nothing will get done)" or "I just don't know" (which is the real answer).  You have the ability to get to those who could possible know.  There is never any active repair to this platform.  What you don't seem to understand is eBay's inability to repair the site COSTS SELLERS MONEY.  Like today the cluster MP, oops can't make Payouts today, sorry.  Every Seller with half of a brain knows when they get an answer like you provided, nothing is going to get resolved.  I have learned in my 51 year business career that when something is really messed up just agree with that and be honest.  If that were done you would have Sellers wanting to help and not continue to hammer you on how bad it is.  If you read the 2018 "Plan" for eBay written by Elliot Management, who now controls your board of directors, you will see how poorly eBay is managed.  Work to correct things, not act like there is no issue or we will do better.  Hollow statements breed contempt.

This account doesn't send very many invoices (because the shopping cart auto-combines, and many people only buy one item), but on my partner's account he's running 100-150 auctions weekly of low priced stuff where people can spend $50 to buy 40 tokens at minimum bid.

 

He's asked me to help him because he was having problems sending invoices (such as you described) where he gets the message "there was a problem", and the invoice is not sent. We don't receive a copy of it in email like we should, but for some reason the items combine in my eBay. However resending that invoice caused it to revert back to the first invoice that was sent (the first 40 items this customer has won).

 

He said he doesn't have problems when it's just a few items, but for whatever reason our best customer is the one who has problems paying us because we can't properly invoice. The good news is, he's pretty understanding that this is not our fault and he's co-operated with paying the invoices he receives and waiting for us to be able to send the next one.

Now isn't that a crazy way to do business.  Invoicing people has been going on for decades.  It's a very simply process.  However eBay is still thinking, well a Buyer only buys an item or two.  That was true in the beginning of eBay.  It is the same small lazy thinking the Post Office has, their employees seem to think the folks standing in line with letters are their core business.  eBay also seems to think one or two item per purchase is where all the money comes from.  The facts are volume is the name of growing and increasing profits.  Great focus should go into this invoicing issue you are having.  Don't hold your breath I'm sure nothing will be done to fix the issue.  You are lucky your Buyer understands.  The next may not, which could cost you the sale or a negative feedback.

Anyone found a solution to this? It's been going on for almost a year, HOW is this not solved yet? I called eBay and they gave the same old pre-written answer and pretended that I was the first to call about this.
