We occasionally get a reasonable request from a customer to wait for mailing OR can they wait to pay on payday. If we agree and add a note to the auction in "sold" why do they cancel? We should be able to decide when to cancel.

As noted in the other post, that note is just for your personal reference. It sounds like you have turned on the automatic unpaid item assistant, which will automatically cancel transactions if unpaid.
Here's the site preferences page where you can adjust that cancellation preference, including putting specific user IDs on an exemption list.

It sounds like you have your unpaid item process set to automatically close.
When a buyer requests leniency, you can turn the automated process off for that transaction.
The ‘notes’ you add to a listing are just for you. No one else sees them.

Thank you. We have been on eBay for 20 years. It changes all the time and we are not always aware.
