Buyer returns an item outside the eBay Return process ... first time this happened, need some advice

There's a first time for everything.  A relatively new Buyer purchased an item.  It did not work to his expectations, I sent a part that improved the operation but not to his liking.   During all of this I let them know I offer Free Returns.  So I just got a message from the Buyer that they sent the item back and of course wants a refund ... but in checking my eBay account no return was processed through eBay, they just sent it back to my address in the original box.

I messaged them letting them know about the Resolution center and eBay's return process AND the fact that I have paid eBay their Selling fees already.  I further explained that the official return process lets me recover those fees when I refund the Buyer.  I also reminded them that the Free Returns would have provided them with the pre paid return label AND that I cannot refund more than what was originally paid.

 

So the obvious questions are:

-Can I withhold the eBay fees when I refund the Buyer, I've already let them  know what that amount is

-Can I have less than Positive FB removed (if the Buyer leaves it) with a return sent outside the eBay return process?

 

As mentioned, this never happened before so its new territory for me and any assistance would be greatly appreciated.

eBay doesn't have an official way to handle this that I know of

but you can cancel the transaction using issue with buyers

address and refund the buyer and get your fees back.

@eunster1313   Than you for the reply ... have you actually done that after an item had confirmed delivery to the Buyer?

I have had those in the past where I open my PO BOX and lo and behold it is a return from a customer that was not  “officially returned” Now, If I were a Bad Girl, I could just ignore this situation, LOL.  Buyers NEED TO KNOW THAT IF THEY DO THAT AND THERE IS NO RECORD HERE —they can get scammed. I just have issued a refund. In the past the fees just got automatically reversed. You cab call Ebay about this to really know how to do it right.

I've had this happen before - I call them 'silent returns' because I don't even get a warning, the item just shows up.  Three weeks ago an order of four items showed up.  I just cancel the transaction with 'buyer request' and they get their money back and I get my fees back.  This has only happened once in a while.

UPDATE:  First, thank you for all the replies.  Since I am in Managed Payments I think I will call eBay and ask the best way to handle this JUST to make sure.  BUT,  here's what happened since the initial post ... the Buyer said he was trying to file a return and was having trouble via the Purchase history return process and couldn't find the Resolution center link ...

So, I suddenly got two messages from eBay ... one said a return was filed and my funds were on hold and then the next message stated the Buyer cancelled the return ... BUT, the funds are still showing on Hold in Managed Payments ... great.  Boy, they sure don't waste time putting your money on Hold and with this situations I bet it takes DAYS to get the funds OFF hold.

I'll be curious as to what ebay says.  If your buyer canceled the return, you'll probably find your funds returned tomorrow morning.  I've had cancellations take a few hours to a day or so to complete. Then you can go ahead and cancel the sale as buyer request and get your money and fees back. But if you don't see your funds by then, yeah, I'd rattle eBay's cage a little.

It will now be in perpetual hold until the return is satisfied unless the cancel went through. Technically this is not a cancelled transaction since it was a sale that went through and was shipped and now  has been  returned. How messy.

@chapeau-noir   It's an interesting situation, funds are still on hold this morning.  The Hold amount is interesting too.  I have a store so fees in MP are 11.5% right?  The total sale on Order Details was $ 115.18 but the amount on hold is JUST the item sale price of $ 104.95.  Wouldn't the entire sale amount be on hold including the shipping?  Here's a pic of my MP financial summary page a day after the Weekly Payout (Tuesdays), the negative Available funds amount is the result of the Hold amount plus labels I printed AFTER eBay's Payout and the $ 76.09 are sales since Monday that have not shifted to Available.
