Revise Multi-Variations listing by report

I am trying to find someone who can take me step by to create a report to revise the variations in my listing. I have a large number of listings in different categories. I am constantly having to revise my listings to meet Ebay's ever changing acceptable variation names.

I would appreciate any assistance anyone can offer.

I think @shipscript has a macro saved with instructions for dealing with this so I'm tagging her. 🙂

Hi @tackyt65

The last time we left off, I believe you had a few remaining variations where there were so many updates to make that they couldn't be made without finding and fixing everything in one pass. Those listings would have to be manually revised or ended and rebuilt.

Is that still the case? Or are we looking at a new group of variations that now have banned variation names?

Revise Multi-Variations listing by report

It isn't a new list but I keep running on the item numbers that need to be revised due to the Variation title and need to be changed to the current acceptable Ebay Variation.

I have nearly 2000 items so now I am just finding them as I try to revise the item.

Right now I have only 2 items that I have found that need revision.

Item 173905734661 needs to be revised for the number issue.

I have another that if possible needs to have the category changed to Non Sports trading cards and then change the number issue as well.  That item is 173908978197.

I haven't done these manually because each has a good number of variations.

I didn't want to keep bothering you as I don't know how to run the reports. I was hoping perhaps you could send me a step by step (dumbed down) on how to run a report so I can run one as I need it. Most of my listing that need changed have a good number of variations so I just don't have the time to relist and attach photos etc.

I really appreciate your assistance and patience.

Susan

@tackyt65

This listing has already been revised to read "Card#" (instead of "Number" or "Card Number"), and you were able to revise and delete a variation on Jan 6, 2023.

https://www.ebay.com/itm/173905734661

It does have a variation called "Name". Are you getting an error on that? eBay has a label called "Card Name", so perhaps they are extending the prohibition to "Name".

Or perhaps this is the wrong item?

Let's look at the listing in the wrong category:

https://www.ebay.com/itm/173908978197

We'll use the Variation Scanner to pull in all of your variations:

https://www.isdntek.com/ebaytools/VariationScanner.htm

  1. At the top of the tool, enter your username
  2. Select country.
  3. For a single listing, add the listing number to the search field.
  4. Click the button to Get Items.

Variation Scanner - Get ItemsVariation Scanner - Get Items

The grid will fill with variation listings and their options.

Because the item is in the wrong category, we'll need to change the category and also find the required Item Specifics for the corrected category. When looking at "non-sports cards singles", we see that both "Graded" and "Franchise" are now required. We also see that the only allowed "Condition" is "used".

Use the Report feature underneath the grid to make some basic changes to the variations.

  1. Select "Rename Variations" as the report style. Spreadsheet users may want to select the comma format, but we'll leave the tab format to help avoid number issues.
  2. Enter the names of the variations you want to change, followed by the replacement names.  We'll change "CARD NUMBER" to "Card#". Up to three names can be changed in one pass.
  3. Since the only allowed condition is Used (3000), and your listing leaves that value blank (zero), we'll change the condition from 0 to 3000.
  4. Next, we need to deal with the missing Item Specifics that are required for that category. Item specifics must start with "C:" when using the spreadsheet method.  So we add the two required specifics and add their values in the adjacent fields.  Please note that this will replace ALL other item specifics in that listing, so those should be saved prior to making this change. In your case, there aren't many and you can manually revise your listing later to update those.

Then click the "Build Report" button.
  5. With the report built, we'll need to manually change the Category number. In this case, we'll need to change 82286 to 183050.  Do so very carefully so that the tab spaces in the report are not lost and don't add any extra spaces.

Variation Scanner - revision optionsVariation Scanner - revision options

You will notice that the variation renaming process will delete variations with the old names and will add replacement variations with the new names. eBay's photos are also preserved in this edit.

(Below the report, in very tiny print, is a link to reproduce all of the selections made within this tool. That allows sharing the settings. This link will build the report I prepared here for you, with the exception of the manual edit to change the category number.)

Download the report to your computer. It will be a tab-delimited plain text file since numbers won't be corrupted in that format. eBay had allowed the .TXT file suffix previously, but if it is no longer allowed, just change the suffix to .CSV after it has been saved. Then upload the file to eBay within Seller Hub.

Seller Hub > Reports > Uploads

After the file uploads, eBay will issue a report with the results of the upload. That report should list any errors encountered during upload. Some are advisory only, allowing the revision to proceed, while some are serious, causing the revision to fail. If successful, the listing itself will update within minutes.

The one that ends in 4661 is correct now. So far, Name is not an issue.

The other issue was if possible needs to have the category changed to Non Sports trading cards and then change the number issue as well.  That item is 173908978197.

I see what you mean. I need to add Garbage Pail Kids as the Franchise and No the Graded. I am forced by Ebay to leave the Condition as Used even though the items are New.

If you could possibly correct this one for me, I have another that I will try and build a report by myself.

Thanks,

Susan

Item 173908978197, with the category change is addressed in the tutorial post in this thread. Follow the instructions in that post (using your item number in the search field) to build a report that you can save and upload to eBay. Please let me know how it goes for you.

Both of those are grayed "suggestions". Type over both of them.

If all I am doing is adding the Ungraded and the Franchise, do I still need to save something prior to requesting the change?

@tackyt65

Normally, I would recommend downloading a list of all Item Specifics prior to changing Item Specifics with the Variation scanner. In the case of this one listing (173908978197), you don't really have any to save. So just add the two, as shown in my screenshot. When you make the other changes on the tool for that listing and upload to eBay, your listing will have only those two item specifics. If all is successful, and the changes are successful, you can manually edit that listing to select any other item specifics that are appropriate.

As  reminder, This link will build the report I prepared for 173908978197 (matching the report screenshot), but you would still need to edit the category number from 82286 to 183050.

If you are working on a different listing, let's take a look at your current item specifics for that listing.

I must have done something incorrect. It failed when I tried to upload to Ebay.

@tackyt65

Did you get an response report, or did it fail without generating a report?
