Item Delivered - Buyer Claims Item Never Received

I recently sold a set of DVDs (around $60, free shipping). Tracking shows it was delivered to the buyer yesterday. Last night I got a message from them claiming that they never received the package, despite tracking showing it as delivered, and that they'd give it "one or two more days" and if it doesn't show up, they'd like a refund. 


I'd like to think that I as a seller am not at fault since I did my part and shipped the item along with tracking. What is the best way to go about solving this?

You're not at fault. Wait for them to open a not received case, and have ebay instantly close it out for you.
By the way, except for THIS sitution, you will always be at fault for anything that happens to the package. Unfortunetly, shipping item with tracking, isn't you doing your part. Delivering the package, is also your part. If it says delivered, THEN you've done your part.

If you tracked the parcel and says delivered, you won the case, i mean if the costumer opened a inr case, you add the tracking to the case and you win.

IF they actually open the item not received case, do as others suggested also message the buyer via ebay with tracking number/date delivered and ask them to call their local PO.

Then upload the tracking to the case, call ebay and asked to have the case closed in your favor while you are on the phone.

 

Ebay for some reason wants us to *reach* out to the buyer in these instances, that is why I always write a message via ebay to the buyer so I am covered before calling to have the case closed.

Try to help the buyer by advising him/her to contact carrier now not waiting 
if it is USPS & scanned delivered they can see where it was delivered, might have went to the wrong house/street
Ask them to check with family members & neighbors

If they open a case then you add tracking that shows delivered and ebay closes in your favor they may open a new case via Paypal , This has happened to me twice. 
Had to add tracking in Paypal case as well

First of all; try to keep everybody calm for a few days.  Now that eBay notifies me that my packages are "delivered", I'll bet half of mine are not actually here when I get that email.  So far, they've all shown up later that day or the next.  I've never had to contact my post office or carrier, but that would be the next step.

 

IF it truly does not turn up and the shipment was insured, file the claim or provide the buyer with the postal receipt so he can file.  As others have stated, eBay will protect you from a Not Recieved claim if tracking shows delivery, but that's no reason to hang the buyer out to dry.

No, you're not at fault, but you may have to deal with the problem until it goes away.  This is what I would do:

 

1. Respond to the buyer, tell them you're sorry to hear about the problem.  Affirm the Tracking # and tell them according to tracking info provided by USPS the package was delivered on X date @ Y time to the address he/she provided which was Z.

 

2.  Suggest he/she check with any other people in their household or neighbors that may have accepted the package, check around the exterior of their house to see if the package was left at another door, garage, or even in areas next to the same (bushes, etc.)  Also suggest they check with their carrier to see if they recall leaving the package and any details about when they did.

 

3.  If your buyer does all that and still can't locate the package, he/she may decide open an INR (Item Not Received) INR complaint.  Don't suggest that to them -- let them figure that part out. 

 

4. If they do file an INR, *respond to the complaint* which means, just because the Tracking # info is in the transaction record, that's not good enough.  You must respond *to the INR* which means click on the link that will be in the INR notification email you receive from eBay, and copy/paste the Tracking # for the package in the area provided in the claim form.   This will allow eBay to confirm that the package indeed was delivered which is all you are required to do as a seller.

 

5.  Others have suggested that once you provide Tracking # info in response to the INR claim that you can immediately call eBay and have the case closed in your favor.   Supposedly, eBay has changed the timeline and now once a buyer files an INR claim, three *business* days must elapse during which the buyer/seller are supposed to try and resolve the problem before eBay can be asked to step in.

 

Therefore, once you're notified an INR claim has been filed, be sure you provide the Tracking # info that confirms delivery in response to the claim *before* this three business day clock runs out.  Once the clock has run out, eBay *should* automatically close the case in your favor, if not, you can call and request the same.

 

6.  If the buyer still hasn't located the package and their INR claim has been denied by eBay, your responsibility as a seller is done.  However, if the buyer continues to contact you, you can suggest he/she contact their local postmaster to investigate further as tampering with/mail theft is a federal offense.  If the PO comes to the conclusion that package was stolen, I've also been told it's not a bad idea to check with your homeowners insurance company as perhaps the theft from private property will be covered under the homeowner's policy.

 

7.  If the buyer leaves you negative feedback, you can contact eBay to see if they will remove it.  They may not, but you can always respond to the comment to rebut.   Just make sure your comment is positive/professional.  Something along the lines of:   "USPS affirmed pkg was delivered on X/XX/XXXX."

The very first thing you should do is ask them to call their local post office since they now have GPS on most of their scanners and can tell where the package was delivered.

 

We all know there are many instances of items showing delivered that were actually at a neighbors house or across town. Help your buyer out even though you are protected from INR claims. It's a nice thing to do.

You're not at fault.

 

adding...eBay will say you're not at fault.

 

Seller will lose a chargeback without signature delivery.

 

If the package was insured, file an online claim, appeal the first denial, and you might prevail if USPS chooses to use an affidavit of non-receipt with the buyer.  I don't know their criteria, but mail volume and address history play into it somewhere as risk management.

 

Tracking is NOT delivery confirmation.  It is an error-ridden electronic system that uses GPS to say an item was delivered to a particular ZIP CODE.  That's all it is.

 

Consider that packages get misdelivered, lose, and STOLEN by USPS employees; and that most people are honest.

Copy and paste the tracking number that says ''delivered '' and send it to the buyer in a message . This will let them know that you are fully aware their purchase has been delivered . You probably won't hear from them again . Tulips

Wow! 6 responses before someone advised the seller to offer at least some level of customer service? No wonder eBay is circling?

 

No, you won't have to refund, but it is also very likely that your buyer didn't get what they paid for.

What sort of customer service can a seller do at this point other than tell them the usual routine that everyone knows already?  You know, check with family members, neighbors, carrier, etc.

 

No matter what, it is not going to get any more delivered, and all the things that can be done are best conducted from the buyer's end.

If it works, sell it. If it works well, sell it for more. If it doesn't work, quadruple the price and sell it as an antique.

Not everyone knows the routine. It is customer service. Do we not do customer service on Ebay any more? I'm getting pretty disappointed with this forum lately.

 

Even if you cannot solve the problem, a little empathy and support goes a long way. In the old days sellers used to befriend their buyers. Nowadays apparently we say "too bad, so sad, it shows delivered, go away".

that is exactly what they should do. 

 

But so many went straight to handling eBay more than the customer.  Not everyone knows that.

 

I was outside when the post office was delivering mail and my neighbor came out with a tracking number that showed delivered. She never got it. She spoke with the carrier, and less than an hour later the carrier returned with the package that had been retrieved from the house where it was mis delivered. This stuff happens often, and if you sell hundreds of items, it will likely happen to you. Don't jump to the conclusion that it is a scam. It often isn't.
