eBay standard envelope tracking

Lately I’ve gotten burned a few times with customers submitting item not received claims. I deal mainly with low end trading cards so people want cheap shipping. I know my item was shipped. I just cannot prove it because there is zero tracking information to give the customer. I guess just accept the refund and open a dispute after?

eBay standard envelope tracking

eBay Standard Envelope (ESE) is a metered letter mail shipment so it does not receive traditional tracking scans. The clerk at the PO counter cannot scan it and you can't track it on the USPS website. The envelopes are scanned by sorting machinery at distribution centers along the way and tracking will appear on eBay.

Common reasons ESE labels don't get scanned include:
- Overpacking. Envelopes are too stiff. It's not recommended to use trading card top loaders or cardboard mailers.
- Using ineligible packing material such as a bubble envelope.
- Placement of label. Label should be placed in the upper right corner with approx 1/8"-1/4" clearance from edges. If it's placed too far from the corner the machinery won't scan it.
- Placing items like coins in the center of the envelope. The center of the envelope needs to be the most flexible part.
- Printer ink is not dark enough, or label color is too bright (stick to white labels if you can).
- Regional issues with sorting machines, volume processing, etc.

With ESE, a 'delivered' scan generally occurs at the last sort facility before it gets to the buyer, so typically the buyer will receive their order a few days after the delivered scan.

Recently I've noticed tracking does not show up for a couple of days after mailing these. It has been showing  up and does have the right time stamps to be consistent with the mailing date, but packages sent on the 11th did not show tracking until the 13th although the time stamp is from the 11th. Weird.

Your local post office has no way to scan the ESE, since the ESE is considered to be contracted business metered mail.

 

The initial scan (if any) would be initiated at the USPS Distribution Center, which is often located in a more distant community and/or county.  Depending upon how you are mailing your ESEs, that possible initial scan may take several days.

 

For instance -- if you simply mail your ESEs in one of the USPS "blue boxes" scattered around your community, that ESE will probably not receive its initial scan for a couple days:  the USPS delivery driver has no means to scan the ESE, so the ESE may sit in the USPS truck overnight, or inside a USPS bag at your local post office until the following day, at which point that bag of unsorted mail would be picked up for transport to the USPS Distribution Center, for arrival later that day or evening.

 

In addition, if you mail the ESEs on a weekend (especially a USPS holiday weekend), that initial scan will be delayed for a day or so, since there will be no movement on that ESE until the post office opens again.

 

If your local post office has a 24 hour self-service kiosk in the lobby, you might consider mailing your ESEs in the mail slots in the lobby -- particularly the "Metered Mail" slot.  By using this mail slot, the ESE will be mixed in with other contracted business metered mail, and has a better chance of receiving an initial scan at the USPS Distribution Center later that evening.

 

If your local post office does not have a 24 hour self-service kiosk in the lobby, try mailing the ESEs inside the post office -- but do NOT hand the ESEs to a USPS counter employee.  Many of these USPS counter employees are confused about the ESEs, since it is a single piece of contracted metered mail, and they usually handle contracted meter mail in bulk -- so the counter employee may "set aside" your ESE for a supervisor's attention, rather than simply dropping the ESE into the outgoing mail -- and that "set aside" may be overlooked for quite some time.

 

Rather than handing the ESE to a counter employee, just drop the ESE into the outgoing letter mail slot inside the post office -- that will avoid any "handling" by your local post office, and the ESE will be sent to the USPS Distribution Center later that day.

 

Admittedly, using the ESE for eBay mailings can be tricky, and a lot more complicated than eBay had initially suggested (or understood!) at the time that the ESE program had been initiated.  And not every post office handles the ESEs in the same manner -- so try a few different methods to find out what works for you.

Yeah, I've shipped thousands of these. I'm just seeing this in the past week or so where the envelop gets scanned the night I mail it, but does not show in tracking (using either ebay or 3rd party tracking) for a couple days. Items I mailed on the 12th showed up in tracking this morning. Not stressed at all. Actually now that I think of it I had the same tracking delay on a scanned ground advantage package late last week. Watched it scan, no sign of tracking for 2 days.

I understand that. I guess my main issue is when the customer submits a not delivered request I need to update the tracking to them. How can I do that when there is no information to give them. Then eBay says I did not update the customer as required. There is nothing to update or prove I shipped it. Knowing full well I shipped it. That’s my main complaint.

Respond to the INR case and upload the tracking number in the case.

I have some doubt that all of the letter mail scanners have been updated for the kludge of the routing scan to be used for tracking. It would explain why there is unevenness in the frequency of scans.

If you're not getting any scans, it's because they're not getting machined. If they're consistently not getting machined, it's because of the packaging. Do you use top loaders or cardboard mailers?

 

If you have no scans showing delivered, you will have to refund. Don't wait for eBay to do it that will cost you fees and a defect.

I agree my Standard Envelopes are not getting scanned anywhere since February 11th. Must be a systematic  issue. I am not shipping these any differently than the 100's I've sent before. The only way I know somebody got one of these is feedback.

Just wondering, for new sellers (like me), how do we get paid if it does not get scanned as delivered? I have one that was delivered a week ago (I know by there feedback) but it still says out for delivery. Until it says delivered I can not get paid.

You should get paid whether or not the tracking gets updated.

You are paid regardless of tracking. Sometimes ESEs will arrive with no scan, which is why people should wait for a buyer to claim they didn't receive their ESE item. Don't preemptively contact them and ask, it might cause a buyer unnecessary concern (and possibly cause unnecessary drama.)

 

If there is still no ESE scan after the expected delivery date you have to refund, and you won't be able to collect insurance eBay offers on ESE shipments. It is unfair but nothing can be done about it unfortunately. If it is scanned at least once, eBay's insurance should apply.

We recently noticed that most of our shipments using the eBay Standard Envelope service have had tracking issues. Either no tracking updates appear after drop-off, or the tracking stops updating entirely. We rarely had problems before, but all orders shipped after February 10th, 2025, seem affected. Over the past two days, we’ve received multiple complaints from buyers, so we investigated the issue and found a solution.

Identifying the Issue:

  • The original tracking number issued by eBay (ESUS*********) directs you to trackmyshipment.co.
  • On that page, you’ll see a USPS First-Class Letter tracking number (20-digit number starting with "00").
  • When you click on that number, it redirects to the USPS tracking website, but frustratingly, it shows “Status Not Available.”

The Solution:

  1. Copy the 20-digit USPS First-Class Letter tracking number.
  2. Go to https://trackpb.shipment.co/track/.
  3. Paste the tracking number to get the detailed tracking information (thanks to Pitney Bowes).

This method has allowed us to track shipments accurately and resolve buyer concerns.

Buyer Fraud Warning:

 

Some buyers may claim they never received their item based on the ESUS tracking number, which does not update correctly. In fact, we had a case where a customer received the item but falsely claimed they never got it. Always check the Pitney Bowes tracking site before assuming a lost package.
