What can I do if a returned item is damaged buyer?

Hi everyone, I'm a new seller and sometimes new things happen with refunds. A buyer refunded my item, but it was damaged and something missing (he dropped thermal paste in the motherboard socket, and I have video when I unpack delivery). So, the problem is, how can I appeal this situation? When I reported a problem in the refund section, I chose an option from the listing (there was no description section, no option to add a photo), and the next step was to pay a full refund... Is this not okay?I'm trying to connect to live support (like chat or email), but this isn't possible, only phone calls. Can somebody tell me what I can do to fix this situation? It's the first time this has happened to me.

      Ebay don't protect sellers

Hello everyone, Something has happened that I can't just accept and move past, so I'm sharing it here. On June 30th, 2026, I sold a JBL Cinema SB580 3.1 soundbar system on eBay. The buyer initially offered $150, which I declined, and we settled on my counteroffer of $160. I shipped the item via FedEx Home Delivery from Maryland to California, and it was delivered on July 8th, 2026. I take customer service seriously and follow up on every sale. When I received the delivery notification, I reached out to the buyer to confirm the item had arrived undamaged. I also make a point of letting customers know that even though my listings don't accept returns, I will always make an exception if an order arrives damaged or if something else goes wrong outside anyone's control. This buyer completely ignored my message. Then, on July 13th, 2026—five days after delivery—the buyer opened a return request through eBay without any prior communication, citing "item not as described." I had sent this buyer a 100% brand new, complete product, yet the return request read: "Hi, I received only the soundbar. The wireless subwoofer, remote, power accessories, and other included items are missing. The listing title and photos show a complete JBL Cinema SB580 system and the description says it is new and sealed. Since I did not receive the complete product, I'd like either the missing components sent to me or a full refund." I messaged the buyer and asked why they were claiming they hadn't received the entire order. Instead of backing down, they doubled down and sent me a photo of a small box—one I never shipped—asking how the full system could possibly have fit inside it. I told them that was not the box I sent, and I pulled up the FedEx delivery photo showing the actual package, which was nearly the size of their front door. I asked them directly: why are you trying to scam me? I also pointed out that FedEx weighed the package at 23.23 lbs. According to the official JBL Cinema SB580 spec sheet, the soundbar alone weighs 5.7 lbs (2.6 kg), the wireless subwoofer weighs 12.6 lbs (5.7 kg), and the complete retail box has a total packaging weight of 22.9 lbs (10.4 kg). How could anything be missing—especially the subwoofer—when my shipment weighed 23.23 lbs? At that point, I was furious with this dishonest person. I told them plainly that I would not accept a partial return when I had shipped the complete product, and that eBay would protect me from scammers like them. Their exact response was: "ebay will always side with the buyer, buyer protection duh." I blocked them and waited for eBay to handle the case. Today, eBay decided in the buyer's favor. They are allowing the return and refunding the buyer with my money. Why doesn't eBay look at the evidence before deciding what to do with a seller's money? I earned that money fairly by sending a complete product to someone who wanted to buy it. My guess is that the buyer already owned this system, blew out their subwoofer, and figured they could scam a seller on eBay into providing a free replacement. Is there really nothing I can do about this?

Need help: Damaged UPS shipment with eBay label stuck in shipping loop. UPS says only eBay can file claim.

Need help: Damaged UPS shipment with eBay label stuck in shipping loop. UPS says only eBay can file claim. I'm hoping someone has dealt with this before because I've spent days going back and forth between UPS and eBay without any resolution. I sold a Pride Go-Go mobility scooter and purchased the shipping label through eBay. The package was damaged in transit before it could be delivered to the buyer. The problem is that the package has been bouncing between Florida and Texas for over a week. It keeps showing "Out for Delivery," then "Returning to Sender," then ends up in another UPS facility. Neither the buyer nor I have been able to inspect the damage because it never actually arrives anywhere. My return address has changed since the label was created. UPS has repeatedly told me they cannot change the return address because the label was purchased through eBay and eBay is listed as the shipper. They also tell me I cannot file a damage claim because the shipment is restricted, and I receive the following error: "Unfortunately we cannot process your claim. The sender has restricted claims for this package. Please reach out to them directly for assistance. (UPS:E022)" UPS has told me multiple times that eBay must initiate the claim or otherwise authorize it. The problem is that eBay support keeps sending me back to the UPS claims website, which immediately rejects the claim with the error above. I've now contacted eBay several times and have received conflicting answers from different representatives. One says to file with UPS, UPS says only eBay can do it, and another eBay representative suggested refunding the buyer without addressing the damaged shipment or insurance claim. The buyer has been very patient throughout this process, and I want to make sure they receive a full refund. I also need to recover the value of the damaged item through the shipping insurance, but I'm currently stuck because neither company will take ownership of the claim. Has anyone successfully resolved a situation like this with an eBay shipping label? Specifically: How did you get eBay to actually file or escalate the UPS damage claim? Is there a department or phone number that handles restricted UPS claims purchased through eBay? Has anyone dealt with a package endlessly cycling between UPS facilities after being marked damaged? Any advice would be greatly appreciated. At this point I just need someone to take ownership of the claim instead of being sent back and forth between UPS and eBay.

Getting a Refund After Case Closed (Item Already Returned)

Hi there, I recently purchased an item through an auction on Ebay that had arrived with more defects than described in the listing and was not usable. I requested a refund about a week after. A few days after opening the case, I had packaged it and dropped it off at the wrong dropbox. Once I realized my mistake, I had tried getting ahold of both companies (the owner of the dropbox and the shipping company that was supposed to recieve my package) with no success. I was able to reach Ebay once about this issue and to the best of my memory, was told that my case would not close for another week. The case did end up closing before then, and about 10 days after the return arrived on the doorstep of the seller. I have pictures and the tracking number to prove it. I've attempted to reach both Ebay customer support and the seller, but only the former responded and when summarizing my situation in their message, did not get the details right. I tried to reach them again with no response. I'm frustrated, because now I'm out a good chunk of money and without the item I had purchased. Has anybody been through this situation and been able to get at least part of their money back?

Buyer returned a lesser condition copy of the same comic book **RESOLVED**

So, I have a question. Been on here for years. This is actually the first time this has happened. I shipped a set of comics books(Secret Wars 1-12). Three weeks later, the buyer wants to return them. I'm not happy with that, but I do have a 30 day return policy. When I get the books, one of them is not the same one I shipped. It is visually different. This is the one I sent.

This is the one I got back.
It is a completely different book. The spine is cut completely differently. There are back cover and internal page discrepancies as well. I included pictures showing that the item returned was not the item I shipped. EBay agreed that the images bore that out. They refunded the buyer anyway, stating in the email they sent me that he would probably file a charge-back. So, I'm curious what my recourse on this is. I know can file an appeal, but it just says include any new material within 30 days. There is no NEW material. Its just the images I already provided, which eBay agreed showed a clear discrepancy, but they refunded the buyer anyway. I'd like to get my money back and I'd also like this buyer dealt with. I do not believe that he accidentally sent the wrong issue back when the other 11 issues from the Secret Wars set were the ones I shipped. I know. Big Ask. But a kid can dream.

Pixel 8 arrived DOA - Can't return it

I bought a eBay refurbished Google Pixel 8 "Good" condition from a certified seller with 99.3% feedback and over 6,000 sales. I'm an international buyer living in Venezuela, so physically returning the item to the US is extremely difficult and costly for me, nearly impossible in practice. When it arrived, the phone won't turn on under any circumstance, I left it charging for several hours with different chargers and cables with zero signs of life (no screen, no vibration, no warmth). On top of that, there are loose internal components rattling when I move the phone. I opened a return request (reason: "Item defective") , and I messaged the seller explaining everything in detail, specifically asking them to issue a full refund without requiring me to ship the item back , given how defective it arrived and the real difficulty I have sending it back internationally. I haven't heard back from the seller yet. Any recommendations for this case?

Misuse of return reason to avoid shipping charges.

Has anyone else noticed that the word has gotten out that is your buyers can us the "Not as described or pictured" reason on returns to avoid shipping costs. And eBay has decided to turn a blind eye to the issue and ignore the seller's plea's. I did find an article on the web that indicates to do this to avoid shipping charges.

Buyer unresponsive to FedEx US Customs request - Advice needed

Hi fellow sellers and Community Mentors, I need some advice regarding an ongoing issue with a high-value shipment ($3,000 sports card). Here is the situation: Shipment Held by Customs: The package was shipped via FedEx and is currently being held by US Customs (CBP). Because the item value exceeds $2,500, US Customs requires the buyer to complete CBP Form 5106 with their SSN or EIN for importer verification. FedEx Deadline: FedEx sent a notification stating that if the buyer does not submit the required information via DocuSign by July 30, 2026 , the package will be returned to the shipper at the shipper's expense. Buyer Unresponsive: I have reached out to the buyer multiple times via eBay Messages and email, explaining the situation in detail and providing instructions on how to complete the form with FedEx. However, the buyer has not responded or taken action yet. My Questions: If the buyer fails to respond by the deadline and the package is returned to me, is this officially considered a "Refused / Undeliverable Delivery" under eBay policy? If the buyer later opens an Item Not Received (INR) claim, will I be fully protected under eBay Seller Protection as long as tracking shows the package was held in customs awaiting buyer action/documentation? Once the package is safely returned to me, what is the correct/standard way to process the refund? Should I refund the total amount minus original shipping, return shipping fees, and any FedEx processing fees incurred? I want to make sure I take all necessary steps to handle this correctly and protect my seller account. Any insights or similar experiences would be greatly appreciated! Thank you in advance!

Major Bug Demotes Seller Below Standard

I am perplexed on how to fix this because everyone I have communicated with eBay on the phone has hung up on me, or just shrugs their shoulders. Yet the more I think about this, it can literally happen to anyone of you, and so my hope is now with your help this can land on the correct eyes who can fix this. There is a crucial bug that my account is now being subjected towards, that can happen to anyone else, allow me to explain briefly as many here can relate. I offer free 30 day returns on all my listings. A customer bought 2 different items from my shop in 1 order. Then opened 2 return requests one 1) changed mind 2) claimed I sent the wrong item. Where the problem escalates from here is, they never shipped back one of the return IDs. All they did was go to USPS at a self checkout kiosk and self scan the label. That triggers eBay system to think it was shipped when in fact it wasn't. So once they do that, it updates the return saying the item is on it's way. Then uses the timeframe it thinks it should be delivered back to update the return claiming "you should have received the item back" then forces me to either refund the customer or do nothing. If I do not refund the customer they can escalate which is what my customer did. Even though he knows nothing was ever returned he scammed the system into deducting the money from my account which affects me partially, until I submit an appeal. Appeal granted, I got my refund back, eBay loses the money, and defect is removed. So whats the problem? Literally ANY shop could demoted with this knowledge and I'm only sharing this here now because everyone at eBay previously ignored me and seemingly doesn't care yet chooses to work at eBay? My customer escalated this on July 19th, I sent an appeal for this on July 19th, received a response on July 20th granting my appeal. However due to timing or something, the new valuation on July 20th DOES NOT include my appeal so it deems now as Below Standard. This effectively implies literally anyone offering free 30 day returns could be subjected to this. Is it likely? Probably not. Right now my shop should be Top Rated. It shows next valuation I am Top Rated. This is entirely a formality that literally anyone at eBay that has ability to, could fix, yet doesn't want? I don't have a family so while this is not the end of the world if I have less sales for end of July into August, it still shouldn't happen. I work really hard to maintain Top Rated status. I am effectively being penalized for offering more customer service than most sellers do? When you are Below Standard your listings are demoted. This doesn't speak towards the benefits of Top Rated like the badge, extra sales for perception of trust, and small discounts on every listing sold, it is the act of them taking listings that would populate on the first page moving them all the way to the back and penalizing me because I'm "below standard" which is intended to do so rightfully so, if you deserve it, but I don't. Sorry for lengthy post, hopefully this gains a little traction and I can either delete this myself if eBay doesn't want to fix this broadly, and just my account or eBay both fixes my account and broadly fixes this bug because it is 100% a loophole that anyone else could do. I am not going to do it, but I have many competitors, if I wanted too, I could get them all demoted next month. All it is, is a matter of timing. I don't care enough to do this and would rather focus on myself then harming others but the point still stands.

Refund Request but I believe fraud is at play

I sold an old pokemon card of mine to somebody, and he is now requesting a refund. The picture I uploaded to the listing and the one he sent me in the refund request don't look anything alike. I contacted ebay and they made it seem like there is nothing they can do. I spoke to him and tried to calm the situation down, but now he is trying to claim the picture I took of the back of card isn't mine. He is saying he found it on a reverse google search, but I took it directly through ebay. So is that even possible? I am not trying to cheat anyone, but it feels like I am in a corner here and can't do anything. If he swapped the card, I just lost all of it's value and had to pay for shipping and all those fees. What do I do? Can I do anything? He has more history and reviews than I do, I am just now starting out.
