Giving Credit where Credit is Due - It's NOT shipped until the Carrier Scans it!!!
It has been a while since I posted one of my "Giving Credit where Credit is Due" threads but here is one I am really happy about:
FINALLY, after many years of debating this subject eBay is onboard with industry standards on when a package is actually considered SHIPPED. NOT when the label is printed but when the carrier has the package in their possession and scanned into their system. This is from the recent monthly Seller update:

·1 year agoHopefully they change 'shipped' to 'label generated" However there is always a chance of human error and carrier didn't actually scan. Nothing we can do about that.

No, they changed when they state it has shipped ... which is after the carrier scans the package into their system. Here is one from today. It shows Shipped to Buyer AFTER they scanned it in at the Post Office.

·1 year agoThis just re-affirms my current procedure that I've had since the beginning. The carrier will scan all of my items in front of me and provide a receipt. I've always suspected this was the way eBay always handled it, and it's nice for them to make it very clear.
I know this is inefficient for many, but until eBay relaxes the rules or carrier employees are held responsible for not doing their job, it's the only way for me. I'm responsible for my business and after all the excuses, if there was an issue and it could have been avoided if I just did the thing, I still consider it my fault.

·1 year agoWhen an order is awaiting shipment, in the drop down menu is a choice to Mark as shipped. Today I printed a USPS Ground Advantage label and the drop down menu has a choice to Mark not shipped. Is eBay going to ignore the input from sellers who mark their items as shipped when mailed with printed labels for packages and/or eBay Standard Envelopes? I tend to mark all my orders as shipped when I put them in my mail box for UPSP pickup on the same day.

·1 year agoThis is probably fine for me, as I stand in line for the counter or, at the very least, use the kiosk.
But I just noticed another change as of this evening -- my Manage All Orders page no longer has an icon to show that I left FB for the buyer. I'm assuming that eBay is now treating that icon as a reminder for the seller, and so once I leave FB, that icon disappears because I no longer must be reminded.

No but that can happen at the counter if the clerk hands over a package that a customer is picking up and they switch their scanner to Delivered. Then if they forget to switch it back to Receiving the next package scanned will be scanned delivered.

Or you have one like I posted about the other week & they moved it to the Shipping Board. My carrier DID scan it. He scanned several pkgs that morning, heard all the beeps, scan didn't take. He told me it happens ALL the time, they have huge problems with the scanners. So, I talked to the staff next time I went to the PO cuz for whatever weird reason, it also took 3 DAYS to get to the Sort Center, which normally happens next day & lady at the counter called the supervisor & they both complained about how many problems they have with the scanners. It's causing them a lot of internal problems they tell me.
So, this could have even happened to me at the PO. If I see them scan, I'm gonna assume it was scanned. Except it wasn't! I get that this doesn't happen often, but it DOES happen!
ETA: BTW the Sort Center that it took 3 DAYS for that entire batch to arrive to, is an hour away.

What the buyer sees is the important part of this whole "shipped" goat rope for years now. As others post............ what the buyer sees is what needed to be "fixed" 😂

·1 year agoBack in the day. There was no such thing as a "helicopter buyer". You just had to have patience and wait until it showed up one day. There's nothing more annoying than a buyer who constantly checks the tracking and asks questions like I've got the Post Master General on Speed Dial for their $3.95 order.

My purchase history now shows this
I assume once it is scanned at the PO the info will change.

·1 year agoI like this change - the other sites where I sell have already had this (for years). I've never stood in line and waited to have my packages scanned, though, and don't intend to start. If the postal service was unreliable I might rethink that, but it's either scanned at the local USPS, or at the sort center.

The only problem I have since the update with how often our carrier sends mail now this year, is that if it doesn't get scanned for acceptance and I wait for the sort center, it can be up to TWO DAYS before it is scanned by the sort center for me now. Used to be the same day it was handed to the carrier here.
My local post workers would do two intercepts before. One in the morning on the way in, and one in the afternoon for outgoing. Now that second outgoing goes out when they get the morning incoming. So a package I ship today, will not get to the hub till tomorrow night at the earliest instead of the same night. (during shipping days) They now only intercept once a day.
And if the pickup/dropoff scan doesn't happen, I probably WILL get pinched. Hasn't happened yet, and my local post workers and I have a good relationship about it, they always make the effort, but still.

·1 year agoThat's where it makes good sense to just go ahead and make sure they're scanned.
Our local post office has one pickup per day (evening), and are diligent about scanning packages dropped off in their chute. There's a lot of small business shipping that comes through there - small manufacturers, shops, online merchants, etc., - and they're used to needing to expedite or they catch flack. Everything is scanned in by end of day, and the supervisor even told me that they did their evening round twice before closing to make sure no packages were left unprocessed.
Previously, before new management, sometimes only the sort center the next day would do the acceptance scan, and that's when if I had an urgent package or twitchy customer, I'd ask the desk clerk to please can then scan it right then. Even then the scan would be updated in 24 hours, but I have a feeling someone got in trouble for being lax.

·1 year agoI can't even imagine standing in line to obtain carrier scans. USPS picks up from my oversized mailbox 6 days a week and scans every package upon pick-up.
That is how they do it in rural east Texas. The carriers and post offices do it by the book. Never miss a pickup or acceptance scan.
I know, I am bragging again on my carriers. These gals don't miss a beat, ever.
If I have too many to fit in the box or a large one, I leave a note in the box and the gate open, they will drive in and get the rest off the table by the garage..... They are the best.

·1 year agoThat's how I roll with my carrier, Patrick. He picks up, he scans, he goes to the door when I leave too many to fit in the box, and he takes care of me. I would be screwed without my Patrick (and his subs). I guess we can both consider ourselves lucky!

I'm so appreciative of all they do without complaint (whether it's part of their job or not) that I give them a Dunkin Donuts gift card several times a year - just because......

I have Melissa, contract driver for USPS, every time I have ever commended her, she always says, "just doing my job". I give her a cash gift every Christmas.
Our USPS stories make us seem spoiled as compared to what we hear from a lot of other posters.

Regular carrier always says thanks (and tells me not necessary) when the Holiday and summer gift card is done.
Summer card is on the way. Will catch her one day next week when she is on.

·1 year agoYes! Those gift certificates and holiday gifts go a long way! I've been incredibly blessed for the last 40 years with amazing postal carriers, which is awesome considering I don't drive and it's difficult to get to the post office for items that ship from here. I consider my carriers my partners in business. I would be lost without them. I'm sure that you agree!

It depends on the local post office. In my area (zip code 15237), the post office is often crowded with long lines. I have a busy schedule; I wouldn't have the time to wait in line for hours to hand over packages to a clerk. Instead, I use the collection box, where my packages get scanned the same night and typically arrive at the distribution center the next day.
eBay expects seamless tracking, technical issues with USPS scanners can sometimes cause delays.

If a seller is too lazy or impatient to stand in line, then they better not come here and complain when eBay dings their seller performance numbers. The sellers are in total control of making sure they get scan by standing in line or not.
I have never waited for more than a 1/2 and hour to get my packages scanned.

·1 year agoYou clearly do not know what goes on at every USPS. Some USPS offices who have high traffic, like mine, will not scan more than ten packages and it less than that during the Christmas season. So with all due respect, every seller is not in "total control" in making sure their packages get scanned.

·1 year agoI am neither lazy or impatient, but I do not plan on driving 20 miles every day to do the post office shuffle. Thankfully, lack of scans has never been a problem. If one happens occasionally, I will take responsibility, just as I do for every other possible problem with on-line selling. So far, in the thousands of packages I've shipped, I can't really recall this problem happening.

·1 year agoNot all post offices will scan packages if you have more than a certain amount. Mine will scan ten max, and less than that during the busy shipping season at Christmas. Otherwise, you can drop them off or they will scan a SCAN Form. The SCAM Form does not you an accepted scan though. Things have been made worse here since there is now only one truck per day coming to get mail. On days when I cannot get an acceptance scan at the counter, I've noticed it is often the next day before they scan it either at the local USPS or at the sorting facility.

Good evening Gentlemen,
The post above is not uncommon in some areas and REALLY concerns me for a number of reasons.
-First, Sellers are at risk if dropped off packages are not scanned by the carrier, USPS in this and other instances.
-Next, Sellers are subject to eBay Seller metrics and one of those is the Late shipping defect. So if USPS is not cooperating and scanning EVERY package a Seller hands to them then the Seller Metric should be discontinued because it is relies on a 3rd party to do their part and in this instance they are refusing to do that.
-eBay needs to educate USPS on WHY they need to scan every package an eBay seller gives them and that by NOT doing it they risk the health of the Seller's account. And the sad part is, this is completely out of the Seller's control. Certainly the eBay Team responsible to interface with USPS has stressed the importance of their clerks scanning packages.

·1 year agoEbay isn't responsible for educating the USPS. Ebay is responsible to it's customers, it's customers are the sellers, the buyers are OUR customers. This has gotten lost in the past decade or so. The USPS does what it does. This year they've been terrible at doing their part. Yes, it reflects poorly on us, but for ebay to try to control every single aspect of buying and selling online from start to finish is a little psychotic. It's gotten out of control. What ebay needs to do is stop punishing people for things that are out of their control and stop coddling buyers. It needs to back off a bit. Trying to "baby carriage" every single transaction is getting old real fast.

It is one of the reasons that I suggested that eBay get rid of the Late Shipping defect for the Seller Metrics because of how difficult it would be to have carriers, USPS in this case, ALL get on board and scan every package that eBay Sellers bring to them OR schedule for pick up. I agree that this issue has been going on for years. Sometimes at our post office during the holidays the lines are long and it could take 15-20 minutes to get through the line and get my packages scanned. The Late Shipping defect rate is not necessary in my view since Buyers are protected by the eBay MBG and can file an INR claim if they don't get their package delivered ... so it really does not matter WHEN the carrier scan happens, either at the counter or the first bulk center a package goes through.
Here's one that nobody on this thread has mentioned yet but I have read it in several other places ... that is USPS carriers not scanning any or all packages on a Scheduled Pick up.
Carriers are 3rd parties and businesses unto themselves. They care little that their customers are selling on eBay, Etsy, Poshmark, Bonanza, Mercari, etc. How and Why Sellers would be held accountable (Late Shipping Defect) for carriers doing or not doing their job is beyond me.

I've never had an issue, but if I do I know what I'm saying.
"I've waited in line for over ten minutes on countless occasions where you have to explain how mail works to people down to stamps and what an address is. Then they do all the packing right there at the counter. Now your going to tell me that 10 packages that take 2-3 minutes to scan and print a receipt is too much for you? I waited in line, I paid my money, I'll have my receipt or a conversation with your postmaster who will be showing me this policy in writing."
I don't think I'll ever need to do this, but I'm prepared. Their inefficiency will not harm my business if I can prevent it.

·1 year agoMy Post Office is almost 8 miles away and there is usually one clerk and 10-15 people on line. If I had 4-5 good sales it's worth the trip... but one $5.95 sale? There has rarely been a scanning problem with packages dropped off at my Postal Station until the last few weeks. I recently had a package mailed Monday morning and "Acceptance at 10:28 PM Wednesday. I've changed my shipping from "Next Day" to "Two Day" shipping because I'm near my Post Office on Tuesday and that should cover most shipping.
The Acceptance scanning doesn't always make sense... I've had an "Acceptance" scan on 6 AM Christmas morning.

·1 year agoIt is all about risk-reward. I do not stand in line to get my packages scanned. Does it give me some late shipment dings - yep. I understand the risk. I'd rather save a few minutes on a trip to the post office and not wait for the scan. In the throws of the PO meltdown after COVID hit, I would wait in line and get my scans.

·1 year agoI am sure it varies from post office to post office, city to city. Back when I was killing it on AMZ in 2018 thru 2021, I would have on some days, 15 orders or more between eBay and AMZ. I would drop at the post office to take the load off my carrier. Drop them on the open counter on the left and split. They never missed a scan.

·1 year agoIt is called profit.
I could spend an hour a day going to the post office, standing in line and getting scans 6 days a week, 312 days per year. Instead of just letting the carrier get it and hoping they scan it (mine never scan it do to the amount).
At $25 an hour that is $7800 of labor spent per year. Plus the cost incurred driving there, we will be generous and round up to only $8000.
Is anyone losing $8000 a year to not getting initial postal scans? Getting in person scans would have saved me about $20 in missing items that I couldn't claim insurance on in the last year, and another $5 on a shipping refund extorted out of me from a customer who did not believe that I had shipped their item (very first scan was at their post office).

·1 year agoExactly, we took items to ship to the post office a few weeks ago on Friday, and they were not scanned until Monday. We have had some that were not scanned until they reached the next center. We were then, of course, dinged on our account. We all do the best we can, we wish things were better at the Post office with all the increases.

·1 year agoFrom what I have seen since 2021 and read a number of threads on both the shipping and selling boards , that drop off's at counter delay the packages getting handle by the employee's on time . Also in last 6+ months The USPS is dealing with Dejoys new policy roll out that has down graded a number of PO's to Raul Units and last truck picking up before Noon. .

1. If an order is shipped using a USPS First Class letter which has no scan, does that mean it is NEVER shipped?
2. If a seller marks an order as shipped and the order is never scanned, does that mean that eBay ignores the seller's input that the item has shipped? This is showing disrespect of the seller, especially since it is eBay that provides the option for the seller to mark an order as shipped.

·1 year ago1. It means you can never prove it shipped, so no defense at all against an INR. I've also been out of the game too long to know what eBay does with these. They need to implement a QR code for envelopes like they have for Local Pick Up items.
2. Ebay ignores sellers for everything else, so why listen now? They don't respect sellers at all; any "respect" shown is done because it would cost them a lot more money to do things another way. Once upon a time things were different, but once the shareholders took the reins they started using sellers backs to clean horses' hooves.

·1 year agoIt's a simple issue of pragmatism. eBay cannot do due diligence on whether a seller actually *has* shipped or not - they're not on the scene and do not do any package handling. Checking 'shipped' is actually pretty meaningless in this context as it can be done at any time whether or not the seller has actually shipped. The only way the site can really tell is when the USPS* actually provides an acceptance scan.
*or whatever shipper the seller uses.

In basic terms, where eBay monitoring is concerned, they can only get feedback from the seller or the Carrier on what has happened with the package. This changes the older message to Buyers that an item has shipped when a Seller simply printed a label. That message was false and misleading. They are now correcting that error and sending a message to Buyers or posting on the tracking history that the item has shipped when the carrier scans it into their system. It is correcting one specific aspect of the eBay tracking, this update does not cover all shipping scenarios like those you mentioned or ESE (which is Metered Mail, not package shipping).

·1 year agoIt’s shipped when it’s says “shippedâ€!!! All the carrier scans says is the item is now in the possession of the post office. Shipping is a two part process. Please don’t make any more “credit due†posts since your opinion is not correct. Stick to your videos.

While that is true, and for basic mail this shipped when scanned may be an improvement over all, nobody seems to have addressed the implications for those that use the eBay Standard Envelope system. These do not get a scan from a carrier that picks them up, they do not get an acceptance scan at the Post Office if you wait in line or not. The first scan may be at a larger hub, three days out from when it was actually 'shipped'.
Just wondering if there will be any REAL exceptions or if you use it late shipping dings will still apply.

·1 year agoFunny you mention this, I've only been selling on eBay for 5 years but with only a few exceptions, I have always waited in line to get everything scanned and get a receipt, for UPS, FedEx, and USPS. At my post office, I see other people bring in boxes wrapped in eBay tape and just put them on the counter and go. When I see this, I think "Why am I being so neurotic, I should just do what those guys do, it will be fine", but there's still a level of comfort that comes with witnessing the scan and having a piece of paper to confirm.

If a label is printed I assume eBay tracking will reflect that, the email or message just won't say it has Shipped like before. When the acceptance scan happens then eBay tracking will state it is shipped. I think it is safe to say the vast majority of packages shipped use a label with tracking.
There may be instances where a Seller pays at the counter then manually types in the tracking ... it remains to be seen how that will play out for notification, but that's probably a small percentage of transactions where that happens.
The new process is a good one and will cover most transactions IMO

I purchased a label on July 4, clearly not being mailed on the holiday but my order says that it's both "shipped"AND label created. (What I'd love to see instead would be "label created" but not "shipped" )
