Ebay refunded even before return was delivered

As the title says, I had a customer want to return an item for "did not like." They opened the return on the 24th and only mailed it yesterday on the 26th.
The moment they mailed the order they were allowed to upgrade the return to a case stating that they did not receive their refund. Ebay decided in their favor within an hour and closed the case stating that the tracking showed it was delivered.
The tracking shows it being in Illinois and I live in Oregon, so not even remotely close. I have no doubt i'll receive the return, but thats besides the point.
They gave the buyer a full refund including original shipping and did not credit my transaction fees due to the fact the case was closed without seller resolution.
I have looked over the return policy and it specifically states that I have 3 business days AFTER the item is returned to inspect it before refunding. Yet the customer received their refund the same day they dropped it in the mail.
I don't understand how they were even given the option to open a claim stating they didn't receive a refund.
Now I have sent an appeal and they put the case on hold. I specifically mention their own policy and state that I want my original shipping returned, my transaction fees credited and the defect removed from my account.
They have, twice now, sent the same copy/paste that the item is in transit and they are positive it will be returned. They make no mention of my other issues. Essentially they just put the case on hold until the item arrives, but they have already taken the money for the item.
Given this item was only $8.75 + $6.95 shipping, but I don't understand how ebay doesn't follow their own policy.
Has this happened to anyone else?

·Jul 15, 2026 at 5:37 AMAs a buyer, I got refunded once as soon as tracking showed the item was picked up from me. Could it be if you're a long time user with a clean track record ebay will do that? I'm not sure but that's the only thing that makes (a little) sense.

·1 month ago@simply_toyz I'm not sure why there's so much confusion in the comments. You explained the situation well and you're not the first poster I've seen have a buyer escalate to a case before they should have been allowed to.
In fact it happened to me once -not as fast as your buyer did; in my case the item had been delivered back to me but my 72 hours had not expired. I ended up having to get help from an agent on Facebook, who explained how it happened: the buyer had simply gotten a poorly-trained eBay phone agent to do it for her. So that's probably how yours did it too.
At first this Facebook rep just refunded my fee credits and removed the buyer's trashy feedback (she was the total package, that woman), but said he couldn't remove the defect. At first I was just glad to get 2/3 of my wrongs righted, but then after an hour or so I was like, "Wait a minute" because really the defect was the worst of the 3 (this was a cheap item, like yours). So I got back to that message thread on Facebook and said stood my ground, said I absolutely should not have a defect, when it was some eBay employee's mistake to let the buyer escalate to a case early like that. A different Facebook employee picked up the conversation, said I was right, and removed the defect.
If you don't know what I mean by 'Facebook employee' it really doesn't matter because eBay quit paying for that wonderful service on FB and Twitter. They are still on Instagram, but to be honest I'm not impressed by the service I've gotten there so far. However, they're probably your best bet, if this case doesn't close in your favor. Do you know how to do what I'm talking about?

OP1 month agoHi, first thank you for actually believing me. Not sure why many thought I was not telling the whole story? I don't understand what I gain from it. I think that is also what the buyer did in regard to calling in and talking to a phone rep. Otherwise, I do not understand how the option to upgrade the dispute to a claim was even possible.
I do know what you mean about the social media reps and I used them a few times on facebook, but then I saw they ended that service. Calling in to their customer service is terrible sometimes, but I suppose that is the only way i'll get this fixed. The two reps that replied to emails I sent seemed clueless. When I specially called out how they did not follow their own return policy no one replied.
The buyer is also a seller with over 14,000 feedback, so she/he is not new to how ebay works. Don't know if that makes it better or worse.

·1 month agoone of the "specific situations" is if the return is being sent on a grand tour of the country by USPS, ecay will eventually tell the seller to refund regardless and then ebay will refund if the seller does not.

·1 month agoAs is ALWAYS true, Ebay nor any or very few other companies will speak in absolutes. There may be an exception to the rule, but outlining what may qualify for that would simply open up a can of worms and likely an influx in fraud. Ebay is just saying what corporations say "MAY APPLY". eTC.

I ordered a power supply that didn’t fit. The return was for “did not fit,” and the refund was issued right away to a gift card, minus the original shipping cost after I mailed it back.

·1 month agoNot the same thing -that was eBay paying your refund quickly out of their own pocket, then the seller would need to refund THEM, without even knowing the difference because there's no notification of it.
What the OP described is an escalation wrongly engaged by the buyer, with lousy consequences for the seller, including a performance defect.

I can only think of one way this can happen if you issued the Buyer a return label through eBay on the 24th and via the claim tracking was uploaded automatically. If the Buyer is a Postal Worker and has access to a scanner they can set it for Received which would register as a Delivered shipment in the USPS system.

·1 month ago · EditedBut the OP did not provide the return label; it was a remorse return and the buyer had to furnish their own return label. I think the buyer just got an idiot phone rep to do this escalation. That's how a buyer pulled the same thing on me once.

·1 month agoI think this happens because they get a person on the phone somehow when they call in that is new and isn't familiar with policy and makes a mistake, I think at least sometimes that's why this happens.
I have phone support because of having an anchor store that's supposed to be dedicated and when I've had this happen to me they've explained it as I've explained it above but I cannot verify it.

·1 month agoWhat type of return was this? Was it a properly filed Buyer's Remorse Return? If so, did the buyer pay for return shipping?
If the buyer filled out the return for any other reason than a proper buyer remorse reason, the seller is responsible for return shipping costs AND you can't get the original shipping refunded.
It may be a couple of problems happened. Possibly an error on Ebay's fault with the fast refund, that should be resolved with the appeal you filed. The other may be a misunderstanding of the different types of returns and the outcomes depending on the reason the buyer filed the return. So what reason did the buyer select when they filed the return????

OP1 month agoThey opened the return for "didn't like" so they were responsible for return shipping. Usually I am allowed to refund less the original shipping.

If this is being settled by eBay's janky ai, then I suspect it did not connect the dots and simply treated both cases as separate events with separate outcomes. I'm also not sure how the buyer was able to open the second case - it makes no sense. Now that the second case is 'closed' it keeps reverting to the first case with this repetitious reply. You'll need to get an agent to look at this.

this right here tells me something is amiss, your version of what happened does not appear to be accurate or you have left out some details.

·1 month ago@simply_toyz has ebay already deducted the refund from your available funds?, if not then it could be a case of a "on it's way" refund policy where they refund the buyer to keep them happy, in that case the funds would not yet be deducted from your account until after you receive it back and complete the process. I have never had it happen but I also do not accept returns except as required or on a case by case basis.

·1 month agoNo, when they do that, the seller isn't even aware of it. Basically eBay "floats" the money to the buyer, then the seller "owes" eBay.

·1 month agosomething weird happened then OR we are not getting all of the details. Maybe a rep opened the case, looked at it, saw a tracking number and just clicked refund. (human error). I don't think that is something they can just go oops and reverse it. (pure speculation)

OP1 month agoYes, they took the money from my available funds to pay this customer. On the order details page it now shows a negative amount as they did not credit the transaction fees.

So they paid for the return shipping??? If so, contacting Ebay is the only way to get this worked out. Someone at Ebay made a mistake and only they can fix it.

OP1 month agoYes, the customer paid the return shipping. It was considered a remorse return by ebay. Just not sure how they filed a claim the same day stating they did not receive a refund when the item hadn't even been returned to me. The customer who purchased from me has over 14,000 feedback and is also a seller, so they are not new to ebay in any regard.
