How do you prevent "Ghost Relist" inventory errors on single-quantity vintage items?
Hi Everyone. I run a store selling unique, single-quantity vintage and estate items exclusively on eBay. Lately, I've run into a frustrating bottleneck with eBay's listing system that is hurting my feedback: out-of-stock cancellations caused by duplicate relists or ghost drafts.
Because every piece I sell is one-of-a-kind, once an item sells, I don't have another copy. However, I’ve noticed that items previously sold or ended very recently (under 7 days) somehow sneak back into active inventory—either through bulk relisting ended items, "Sell Similar" draft carryovers, or system glitches after canceled orders.
Since eBay doesn't flag when an item in your ended/drafts folder has already been sold and shipped, I'm looking for best practices from experienced sellers:
How do you manage your Drafts and Ended listings to eliminate ghost relists?
What daily or weekly inventory reconciliation routines work best for you in Seller Hub when you have over 500 items?
Are there specific eBay settings (like the Out of Stock option or Custom Labels/SKUs) that help prevent single-item listings from accidentally duplicating?
I'd really appreciate any tips, workflows, or safeguards you’ve implemented in your own shop to lock this down!

I manage by never, ever bulk relisting.
I may end listings in bulk, but I do not relist/sell similar in bulk.
I also use the notes section to note whether the item is 'listed again' (regardless of sell similar or relist). (see below)
I only relist/sell similar items that I know I have on hand, and I do it one listing at a time.
If you sell similar from inactive listings, a new listing will be created and the old one remains in inactives.
If you 'relist' the old listing will disappear from Inactives
People who bulk relist from inactives can easily grab a listing that shouldn't be relisted.
I don't know if you ever have a qty or 2 or more, but if so, when you relist, the quantity goes to the original qty.
It's too important on eBay to never cancel a sale for out of stock, so invest the time in carefully relisting. It's also not that important to relist frequently. You lose your Google SEO when you end and relist.
Do a good inventory now, before holiday selling is upon us.

Notes feature:
I just ended these listings in bulk. I immediately add the word **NOT as a note to each, that's just my indication it's not been relisted/sell similar.
When I sell similar, I will change the "Not" to 'listed again'
Figure out what code words work for you and use them.
